The Cross Cultural Learner Centre is a non-profit organization, located in London, Ontario, that provides settlement services for newcomers to Canada. We are currently looking for a full-time, permanent, **Client Orientation Assistant** to join our team.

Reporting to the Manager, OSN this role provides walk-in and appointment-based intake services to clients of the OSN program. The position is responsible for making accurate assessment of client eligibility, educating clients on their eligible services, identifying client needs and ensuring appropriate linkage with internal resources and other external services. The position is also responsible for providing back-up support with reception duties as needed. Roles Responsibilities Administrative and Clerical Duties (60%):

- Maintain front desk duties such as welcoming clients, answering and delegating phone calls and requests, monitoring front desk area-Act as first point of contact for the department, via phone and in person ensuring requests are forwarded to the appropriate department or staff member-Ensure office technology is used efficiently and effectively, staying up to date on changes and best practices that would increase productivity in the department-Assist with client appointments, booking interpreters for client workshops-Assist with booking/preparation and set up of the rooms for client orientation and workshops-Attend training as required-Maintain contact lists, promotional binders, displays, mailing lists, fax lists & websites for promotional postings and announcements
- Provide all required support to program Manager in administering program activities-Assist with program meetings as needed-Schedule program meetings, take and distribute accurate meeting minutes-Maintain accurate records on expenses and transactions pertaining to OSN programming-Assist Settlement Counsellors with various activities as needed

**Qualifications**:

- The minimum level of education required is a High School Diploma-Minimum of one year of experience in providing administrative and clerical support to a business or non-profit organization including experience in word processing, maintaining confidential information, records and files-Ability to operate normal office equipment such as computers and printers-Keyboarding skills -Ability to read and communicate straightforward and routine information to clients, CCLC staff, public and other partners-Ability in using discretion in dealing with sensitive and confidential issues-Ability to demonstrate anti-oppressive practices-Ability to provide trauma and violence informed care-Ability to communicate effectively in individual settings-Ability to work effectively as part of a team, and collaboratively with other CCLC programs and staff

Program Management Support (20%):

- Actively participate in all mandated training, staff meetings and workshops
- Ensure appropriate and confidential handling of all client information and files
- Operate in accordance with the policies, guidelines, and protocols of the program and partner organizations
- Assist with reception duties as required
- Accept other duties as assigned

Other Duties(20%):
As CCLC works with vulnerable clients in our community, you'll need to be able to pass a Vulnerable Persons Police Check to work for our organization.
