The Clerk B - Resource Centre, under the general supervision of the Records and Information Management Coordinator, is responsible for providing administrative and accounting support for the records management function at the Water and Waste Department. Based on operational requirements, the duties will vary and may include managing the department’s records inventory and reference library, assisting in the preparation of FIPPA requests, reconciling accounts, creating journal entries, maintaining the shredding program, and ordering supplies. This position also provides coverage for the front reception and provides administrative support to the onsite managers and supervisors as needed and performs other assignments consistent with the classification
**As the **_Clerk B - Resource Centre_**_ _**you will**:
- Maintain the departmental filing system by creating and assigning new file numbers and cataloguing reference material.
- Retrieve and compile background information necessary for the preparation of FIPPA requests and reports.
- Perform front reception duties and acts as back-up for other clerks within the division as required.
- Prepare, type, format, and proofread letters, templates, memos, and other documents using Microsoft Office, ensuring accuracy within assigned deadlines.
- Develop spreadsheets and other materials to track document inventories.
- Coordinate retrievals and accession of departmental records to and from the Archives and Records Control Center.
- Process branch purchase orders, receipts, and accounts payable transactions.
- Complete purchase card analysis, review, and reconciliation.
- Prepare financial summaries for branch forecasting and budgeting purposes.
- Reconcile external data to the appropriate general ledger and sub ledger accounts and balances.
- Act as recording secretary and independently prepares and distributes agendas and minutes, as required.
- Route mail both internally and externally, including periodicals.
- Compile and complete the ordering of office supplies including periodicals, trade journals, and technical standards.
- Complete other duties consistent with the classification, as assigned.
**Your education and qualifications include**:
- High school graduation / G.E.D., or an equivalent combination of training and experience.
- Demonstrated proficiency (Advanced) in the use of word processing software such as Word.
- Thorough knowledge and experience of general office procedures, including filing system development and maintenance, telephone answering procedures and customer service techniques.
- Demonstrated ability to maintain accurate records and files.
- Demonstrated ability to exercise personal initiative and sound judgment, including the ability to deal discretely with highly confidential matters, establish priorities and meet tight deadlines.
- Demonstrated ability to research and analyze complex issues and to exercise sound judgement when determining appropriate action.
- Ability to communicate both verbally and in writing and to meet and deal with a wide variety of people under varying conditions.
- Demonstrated ability to prepare journal entries, record transactions, maintain records, and ability to perform calculations requiring accuracy and attention to detail.
- Demonstrated ability to establish and maintain positive working relationships with employees at all levels of the organization, external contacts and the public, in accordance with the Respectful Workplace Standard.
- Demonstrated ability to work under minimum supervision.
- Demonstrated ability to work well under pressure.
- Knowledge of the Civic Service and of the services provided by the Water and Waste Department.

- The successful applicant must maintain legal eligibility to work in Canada. If the successful applicant possesses a work permit, it is their responsibility to ensure the permit remains valid.
- Must be physically capable of performing the duties of the position, including the ability to lift and move boxes weighing up to 40 lbs.
