**Position Purpose**:
Reporting to the Office Manager, the Office Assistant is largely responsible for supporting day-to-day administrative activities. The Office Assistant combines administrative support abilities, organizational skills and the ability to discretely manage confidential information in order to support excellence as established the Flicka Gymnastics Club.

Head Coach (WAG), Head Coach (MAG), Recreation Program Director, Head Coach (Excel); Club Accountant; employees at all levels of the organization

**People Reporting to This Position**:
There are no individuals reporting to this position

**POSITION RESPONSIBILITIES**
- **Administrative**_
- Assist Office Manager, Recreation Program Director and others with regular and ad-hoc administrative tasks
- Assist with scheduling and coordination of Club activities including fundraising initiatives and gymnastics meets
- Assist with updating Club website
- Assist with provision of customer service
- Assist with management of Club calendars
- Assist with processing of refund requests
- Assist with collection of fees
- Assist with collection and retention of confidential information
- Assist with preparation, proof reading, editing and formatting of outgoing correspondence and Club material
- Assist with creation and updating of Club newsletters using Canva and ConstantContact
- Perform general administrative duties and assist with miscellaneous projects as required
- Provide cross-coverage and vacation coverage for other staff as needed
- Assist with updating and monitoring waiting lists
- Assist with updating Cangym and Active Start programming online skill charts
- **Knowledge**_
- Previous experience working in an administrative capacity in a fast-paced environment
- Post-secondary education in recognized business, administrative or secretarial courses
- Experience in amateur athletics or non-profit sector an asset
- **Key Competencies / Skills**_
- Communicate in fluent English on a spoken and written level
- Possess strong communication skills, both verbal, and written, express thoughts in an organized, concise manner and demonstrate the ability to use tact and discretion in all interactions. Actively listen to the issues of others in a manner that elicits cooperation and support
- Demonstrate highly detailed-oriented work with excellent follow-through and multi-tasking skills
- Self-motivated. Proactively looks for ways to add value
- Work in a discreet manner, maintaining confidentiality and appropriately handling sensitive information
- Able to perform a number of different tasks very quickly in a fast-paced environment
- Possess strongly developed time management / prioritization and organization skills, with the proven ability to juggle and reprioritize based on business demands and priorities

**Job Types**: Full-time, Part-time, Permanent
Part-time hours: 15 - 37.5 per week

**Salary**: $17.00-$19.00 per hour

Ability to commute/relocate:

- North Vancouver, BC: reliably commute or plan to relocate before starting work (required)

**Education**:

- AEC / DEP or Skilled Trade Certificate (preferred)

**Experience**:

- Customer service: 1 year (preferred)
- Administrative experience: 1 year (preferred)
