Receptionist/Administrative Assistant

**Job Summary**:
Reporting to the Senior Human Resources Manager, the successful Receptionist/Administrative Assistant will be the first point of contact for ERCO Worldwide and the typical duties include receiving and educating all guests on ERCO’s safety policies/evacuation procedures, contacting staff when visitors arrive, being the main point of contact for all vendors and contractors, administrative support to the HR department in terms of issuing communications, scheduling interviews and other administrative duties as assigned. This position will be required to be in office, minimum 3 days a week.

**Major Duties and Responsibilities**:

- Receiving visitors at the front desk by greeting, welcoming, and directing them appropriately
- Act as the primary point of contact for organizational service providers such as office vendors, contractors, couriers, building management etc.
- Carrying out safety orientations and office tours with all visitors to the office
- Maintaining supplies and cleanliness in the office and kitchenette areas as required
- Maintaining office security by following safety procedures and controlling access cards via the reception desk (monitor logbook, issue visitor badges)
- Responsible for the control, maintenance, and management of all communications for the on floor staff information screens throughout the two floors
- Ordering/arranging meetings/food/beverages in conjunction with other support staff
- Professionally and accurately responding in a timely manner to written and oral inquiries from plant sites, employees and leaders.
- Manage stationary supplies, business cards, company branded materials etc for the corporate office and plant sites when required.
- Supporting the HR Department in HR Communications, processing invoices, onboarding of new hires and coordinating interview meetings.
- Acting as a back up for the Office Coordinator for outgoing and incoming mail and courier shipments
- Be an active member of the Company wide Newsletter committee
- Special projects and other duties as assigned.

**Qualifications & Desired Attributes**:

- College or university business, commerce or human resources degree or diploma
- Demonstrated experience in a fast-paced, ever-changing office environment.
- Proficiency in Microsoft Office Suite
- Experience using SharePoint
- Valid drivers license - G Class (access to a vehicle is required)
- Hands-on experience with office equipment (e.g. printers)
- Professional attitude
- Willingness to take on projects not normally associated with a reception role
- Solid written and verbal communication skills
- Time management skills
- Organizational skills
