Under the direction of the Controller and President or their delegate, the Human Resources Coordinator & Recruiter is responsible to perform various administrative tasks, ensuring the smooth operation of HR processes, recruitment, employee engagement, and labour relations within the company. This includes ensuring impeccable and high standards for communication, organization, efficiency, accuracy, and documentation. This position will also provide high-level administrative and daily coordination support by working closely with the President and liaison with Management and teams to help ensure the company achieves its goals and objectives.
- Oversee and manage the day-to-day office functions and be the direct contact when the President is not available or present.
- Work in collaboration with the applicable company consultants as required.
- Perform various administrative functions for the office and administrative requirements for Human Resources and Payroll departments.
- Follow, lead, implement, and enforce all company policies and procedures as amended from time to time, including but not limited to, company safety and operational policies and procedures. Follow and lead by example with proper communication processes, code of conduct and company confidentiality requirements. Ensure to ask for direction and clarity as needed.
- Always maintain the confidentiality of all clients, suppliers, and company information. Passwords are not to be changed without authorization by the President.
- Proactively propose innovative ideas to enhance company growth and operational efficiency.
- Take an active role in assisting to improve and update procedures, processes, strategies, software programs, ideas, etc. at the department level and assist with implementing new ones when necessary.
- Research as required and assigned (i.e., best products that meet the budget, office supplies, equipment, software programs, etc.).
- Employee engagement including promoting a positive work culture and employee engagement initiatives.
- Provide suggestions to organize and conduct employee information meetings, employee recognition programs, wellness initiatives, and activities that foster a productive and inclusive work environment including team building and social events and request approval from the President.
- Attend any training as required including but not limited to health and safety, etc.
- Schedule all training dates in the company calendar and send invitations to appropriate employees with reminders prior to training, this includes but is not limited to PSA, DRS, Safety Training, Mandatory Training, New Employee Onboarding/Orientation, specialized training, etc.
- Manage building security, such as the assignment of keys, allocation of alarm codes for approved personnel and immediate deactivation or removal of access when an employee is terminated and/or concerns arise to warrant a block of access to the building, company database, and software etc.
- Manage and track records of company hardware and assets including but not limited to all passwords, company vehicle GPSs, vehicle keys, insurance, scheduling of maintenance liaison with shop Supervisor as requested, processes and related digital access to information and company programs.
- Administration of company vehicles, licensing, cell phones, equipment, etc.
- Utilize, oversee, and maintain integration process and train employees on the applicable Company inhouse software programs including but not limited to PSA, Xactimate, XactAnalysis, Complete DRS, SiteDocs, and the like, including any follow-ups and updates. Training is to be documented on due diligence forms for each employee.
- Respond and address Cloud/PC issues, backups, and software program supports including but not limited to internet and servers.
- Primary contact and liaison with I.T. to troubleshoot and arrange support as needed or required to address the concern.
- Maintain digital records of employee participation in all training and follow due diligence sign off for accountability. Track and distribute any certification for all company employees.
- Schedule full calendar year of staff meetings, send invitations, prior to meetings send reminders.
- Prepare agenda and distribute prior to meetings, record notes and minutes for all meetings and report to President.
- Update, maintain, and oversee applicable calendars and support President with scheduling any and all other company meetings and any preparation such as agendas, follow up with minutes and/or documentation required to support the President.
- Manage workflow to ensure that all expectations and deadlines are met by ensuring a timely follow through with all assigned tasks and duties with confirmation and updates as required.
