**JOB TITLE**:Human Resources Assistant**

**JOB SUMMARY**: The Human Resources (HR) Assistant reports to the HR Director and/or designate and performs Human Resources related functions which promote a high standard of customer service and professionalism. The HR Assistant is responsible for maintaining personnel files, attending employee HR meetings, providing clerical support and other administrative tasks.

**REPORTS TO**:HR Director**

**KEY DUTIES & RESPONSIBILTIES **_(includes but not limited to)_**:

- Maintains employee records; including auditing employee files and sends out correspondence to managers, leadership and employees as to any upcoming expiry dates and/or deficiencies; also achieving terminated files.
- Assists with the recruitment process, supporting the sourcing, pre-screening, setting up interviews with leaders, reference checks, and offer letters.
- Provides HR administrative support which includes drafting employee correspondence e.g., offer letters, employment verifications;
- Benefits Coordination - manage employer responsibilities in regards to benefits programs, including enrollment, changes, updates and terminations
- Pension Plan Coordination - manage enrollments, changes and terminations
- Updates all data on Share Vision, including benefit and MPP eligibility dates.
- Schedules and informs employees of all HR related meetings - Takes and types meeting minutes for all HR related meetings.
- Prepares on-boarding packages, and arranges on-boarding activities including “general orientation”
- Takes monthly minutes for company meetings as scheduled and required.
- Follows policies and procedures of the community, and maintains confidentiality with employees and resident information.
- Processes administration on approved leave requests.
- Promote and maintain positive communication and relationships among staff, supported people and the public.
- Attends and participates in any education programs.
- Required to work positively and collaboratively with all team members and supervisors.
- perform other duties as required

**QUALIFICATIONS AND SKILLS**
- Graduation from an HR or Administration program or equivalent 2 years recent related experience or an equivalent combination of education, training or experience.
- Knowledge of HRIS systems; Share Vision experience an asset.
- Excellent written and verbal communication skills in English
- Must be efficient and detail-oriented with strong time management skills
- Ability to manage high volume of work and manage several tasks at once
- Ability to work independently and in cooperation with others
- Ability to exercise discretion as needed when dealing with sensitive and personal information
- Knowledge of general office procedures
- Customer service oriented
