This position specializes in supporting and retaining our contract healthcare workers, ensuring they can focus on providing exceptional patient care.
**Responsibilities**:
As a Healthcare Onboarding Specialist, you will be at the heart of our staffing and credentialing functions, ensuring a smooth and seamless process for our healthcare professionals. Your key responsibilities will include:
Assisting with day-to-day staffing and credentialing operations, including answering phones, running reports, and coordinating with our active staff.
Accurately processing payroll each week in collaboration with the payroll team and addressing any payroll-related inquiries from our dedicated healthcare professionals.
Proactively reaching out to contract staff currently on assignment and those not scheduled in the future week, actively generating new contract placements to meet our clients' needs.
Creating on assignment reports for contractors, ensuring seamless communication for future extensions or re-deployment opportunities.
Managing quality control, termination, or replacement checks as needed, ensuring our healthcare professionals receive the support they need throughout their assignments.
Effectively adding new hires into Bluesky / Q4 and managing any changes to TD1 and Direct Deposit forms, streamlining their onboarding experience.
Coordinating YouSignHere documents in the V Drive and Bluesky, ensuring a seamless and efficient document management process.
Working collaboratively in a team environment, embodying a spirit of cooperation and teamwork to achieve collective success.
Ensuring all new contractor schedules are updated and posted by the end of each day, maintaining efficient staffing operations.
Documenting ending assignments in Q4, providing accurate and comprehensive records for future reference.
Correctly assigning and linking new assignments for the week and beyond in Q4 to WSS, ensuring our healthcare professionals are optimally placed.
Conducting Clinician QC Checks for new assignments, proactively addressing any potential issues to maintain high-quality service delivery.
Managing basic progressive discipline with clinicians in consultation with the HR team, ensuring a supportive and respectful work environment.
Ensuring all clinician documentation is up-to-date, guaranteeing compliance and seamless operations.
Maintaining real-time updates on the Travel clinician tab in Google Sheets, keeping track of contract status, travel status, assignment status, and WSS/Q4 link for effective planning.
**Requirements**:
To excel in this role, you'll need:
A minimum of 1 year of previous healthcare staffing, scheduling, and/or recruitment experience (definite asset).
At least 2 years in a fast-paced administrative role involving contracts, ensuring you can manage the complexities of the position.
Post-Secondary education (an asset), showcasing your dedication to continuous learning and professional growth.
Proven ability to organize, prioritize, and manage multiple priorities daily using various software platforms, ensuring efficient and effective workflow.
Intermediate to Advanced Excel, Word, and Outlook Skills, enabling you to leverage technology to streamline processes.
Familiarity with human resources principles, helping you support our dedicated healthcare professionals effectively.
Strong attention to detail and a keen sense of customer service towards clients, ensuring a positive experience for all stakeholders.
The ability to thrive in a fast-paced environment, showcasing your organizational skills and capacity to work independently.
A criminal records check, demonstrating our commitment to maintaining a safe and secure work environment.
Compensation:
We value the skills and expertise you bring to our team The Healthcare Onboarding Specialist role offers a competitive starting salary in the range of $40,000 to $45,000, commensurate with your skills, knowledge, and experience. Additionally, we provide a comprehensive benefits plan and bonus incentives, recognizing your dedication to our mission and the success of our team.
