**Position Summary**:
Reporting to the General manager of the Maintenance, the Maintenance Coordinator** **is responsible for entering and managing all maintenance work requests through CFMS, contacting subcontractors for estimates, coordinating & managing subcontractors once an estimate is approved as well as ensuring that parts required for each building managed by TPFA are in inventory and replenished as required.

To be successful, TPFA is looking for someone with strong communication and interpersonal skills, who can build relationships in a team and with people of varying backgrounds. Someone who is self-motivated, adaptable, and able to prioritize multiple projects in a fast-paced environment. We are looking for someone with outstanding decision-making, problem solving, and creative thinking abilities.

**Responsibilities: (Include but not limited to)**
- Efficiently input and manage preventive and corrective maintenance work orders using the Computerized Facilities Management System (CFMS).
- Strategically plan and schedule work orders three weeks in advance, ensuring timely completion while monitoring key performance indicators (KPIs) as directed.
- Regularly update the CFMS with new assets, parts, and equipment, maintaining an accurate and up-to-date system
- Support the Maintenance Manager in overseeing regulatory obligations, including OHSA, environmental compliance, local by-laws, waste stream management, and insurance requirements.
- Conduct and document daily walkarounds, audits, workplace inspections, and damage reports, ensuring comprehensive records are filed.
- Revise and update Standard Operating Procedures (SOPs) for Maintenance and Operations to align with industry best practices.
- Collaborate with third-party stakeholders to schedule repairs and services promptly, fostering effective communication and coordination.
- Manage equipment inventory through meticulous data entry for new and existing equipment, keeping maintenance schedules and job plans updated.
- Facilitate communication with contractors, obtaining quotes, and diligently following up for updates.
- Act as contact person for all insurance related communications including starting the claim and coordinating walkthroughs & repairs and other required documentation relating to insurance claims.
- Assist with damage evaluations & insurance investigation as a support person.
- Assist operations & Operational Health & Safety team with tenant requests, work order requests by assigning them to proper building & maintenance staff and following up on requests for completion.

**Requirements**:

- 2+ years of maintenance experience in building maintenance or manufacturing.
- Engineering Diploma required (Preferably Mechanical)
- Experience with CMMS software required.
- Good oral and written communication skills
- Proactive with strong customer service orientation
- Ability to multi-task, prioritize and follow instruction.
- Knowledge of HVAC, electrical, mechanical, pluming, piping systems, hydraulic and pneumatic system is an asset.
