Looking for a full-time permanent real estate Administrative Assistant to work for an individual agent in Mississauga. Previous experience in the real estate industry is a MUST for this position. This is not an entry-level role.

**Duties & Responsibilities**:

- Database Management
- Liaising with Website company to keep up the online profile.
- Maintaining social media presence on tools such as Twitter, Facebook, Instagram and LinkedIn.
- Broker Load - input MLS listings, upload photos, scan documents, process new listing documents (price changes, extensions), etc., enter listing information and appointment instructions into Broker Bay
- Offers - preparation of offers, amendments, waivers and other related forms/ documents as well as submitting all completed deal paperwork
- Overseeing and organizing photo shoots and home staging for new listings
- Organizing and arranging showings and after sale appointments
- Installation of lockboxes
- Preparing and organizing marketing materials
- Must be able to work independently and proactively to improve systems, processes, and efficiency
- Maintain the client database to make sure that the information is updated and accessible
- Organize and maintain filing systems, archives, and electronic files
- Follow up with Coop Agents regarding showing activity for our listed properties and record feedback
- Coordinate client events and meetings
- Scheduling and organizing buyer client showings
- Prepare, coordinate and deliver all necessary items to ensure our listings are ready for showings (Feature sheets, internal showing signs, marketing, etc.)

**Qualifications**:

- Minimum 2 years working admin experience in a real estate office
- Strong command of the English language (both written and verbal)
- Ability to multitask
- Ability to work with mínimal supervision
- Excellent organization & time management skills
- Superior customer service skills, including excellent telephone manner
- Experience with online property portals is required (BrokerBay, TRREB, ITSO, Docusign, WEBforms, Realtorlink, GEO, MPAC, etc.)
- Strong organization and self-management skills to effectively prioritize and multi-task
- Anticipate workflow and think ahead to effectively manage tasks
- Able to ensure technical accuracy with all work
- Work independently, follow instructions thoroughly and work well as part of a team
- Respond to quick turn around times and take initiative when needed to ensure the timely completion of tasks
- Must be able to prioritize and and stay on schedule throughout the day

Pay: $23.00-$26.00 per hour

Expected hours: 40 per week
