The Clinic Network, a division of Pathway Health is actively looking for a Bilingual Medical Administrator to join our virtual clinic team.

**Overview**:
The Bilingual Medical Office Administrator is responsible for working in line with the company, Nurse Practitioners, Patient Educators and other team members of Pathway Health Services to help provide administrative support in line with operational needs. The position is responsible for overseeing medical administrative tasks related to clinical Standards of practice, as well as process and procedure. This position is the primary first point of contact for all virtual / clinic locations and responsible for confirming and maintaining all patient data collected upon patient check in.

This position is also responsible for booking appointments and scheduling patients to the Virtual / Clinic schedules, based on physician availability.

**Key Responsibilities**
- Complete administrative tasks related to patient third party requests, as well as circle of care requests for all patients.
- Book appointments and schedule patients to schedules based on physician availability.
- Confirm requested appointments and verify that they align with physician criteria and schedule.
- Responsible for accurate chart notation in regard to completing administrative tasks on behalf of patient.
- Assist in clinic procedures such as virtually/in clinic rooming of patients and assisting physician with tasks requested that align with standard operating procedures.
- Compile office supply and medical office supply ordering lists for budgetary review and ordering upon approval of location manager as required.
- Acts as communication between Patient Care team and Education team for patient requests that pertain specifically to education.
- Work to keep waiting areas and physician exam rooms in orderly and sanitary fashion.
- Confirm information for third party and patient requests while upholding privacy and compliance procedure of confirmation of information for receiving party.
- Manually resend medical documents when patients are unable to order.
- Update chart information in patient files, such as labs, requests and registrations that are to be added to patient files.
- Monitor admittance and waiting times for patients relaying to physician if needed.
- Provide administrative support and perform clerical duties.
- Scan, fax and / or mail documents as required.

**Abilities and Knowledge**
- Perform the described responsibilities in a professional, competent and timely manner
- Ensuring that performance of the described responsibilities complies with Health Canada standards and any/all federal, provincial and municipal laws and regulations.
- Excellent interpersonal and communication skills
- Proficiency in English, both verbal and written required
- Proficiency in Microsoft Office Suite. EMR and data entry skills
- Knowledge of medical terminology
- Knowledge of office administration procedures
- Excellent problem-solving skills
- Excellent time management and deadline adherence
- Ability to multitask efficiently
- Attention to detail/accuracy
- Can work with little supervision, self-starter

**Education and Experience**
- High School Diploma
- Medical Office Assistant Certification preferred or equivalent work experience
- Must have knowledge of EMR software
- Medical background an asset
