**Position Title**:Document Controller

**Reports To**: Director of Quality and Continuous Improvement

**Terms of Employment**: Permanent, Full Time

**Key Responsibilities**:

- **Document Management**:

- Establish and maintain document control procedures and systems.
- Create, revise, and review documents as needed, ensuring accuracy and completeness.
- Manage the distribution and filing of documents to relevant stakeholders.
- Master Bill of Materials (MBOM) generation from engineering to final format
- **Version Control**:

- Implement version control procedures to track changes and updates to documents.
- Maintain a clear and organized record of document revisions and approvals.
- Upload engineering releases and managing revisions on the Smart Use -as built system
- **Compliance and Auditing**:

- Ensure that documents comply with internal policies, industry regulations, and legal requirements
- Prepare and support documentation for internal and external audits.
- Monitor and ensure adherence to document control processes and policies
- **Record Keeping**:

- Maintain an organized and up-to-date electronic and/or physical filing system
- Handle document-related requests and ensure timely responses.
- **Document Distribution**:

- Coordinate the distribution of documents to appropriate personnel and departments.
- Ensure secure storage and retrieval of documents and records.
- **Training and Support**:

- Provide training and support to staff on document control processes and best practices.
- Offer technical assistance and troubleshoot issues related to document management systems.
- Provide training and support to end-users to enhance their proficiency with Smart Use software as built system.
- **Continuous Improvement**:

- Identify areas for improvement in document control processes and recommend solutions.
- Stay current with best practices and technological advancements in document management.

**Qualifications**:

- **Education**: Associate or bachelor’s degree in business administration, Information Management, or a related field preferred
- **Experience**: Minimum of 3 years of experience in document control or a related role.
- **Skills**:

- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Proficiency in document management software is an asset
- Effective communication and interpersonal skills.
- Ability to work independently and collaboratively in a team environment.
