- As the Departmental Business Coordinator, you will work within the Planning & Development Services' General Manager's Office and provide advisory support to the Senior Executive Advisor to strategically address the complex, fast-paced and changing needs of the department. You will identify opportunities for continuous improvement and efficiency around departmental systems, processes, and policies, driving the development and implementation of solutions. Primary duties include:

- Work closely with relevant internal and external parties to identify and resolve reputational, political and operational issues.
- Develop and recommend strategic solutions to leadership to create efficiencies in systems, processes and tools while ensuring alignment with Council direction and compliance with legislative requirements.
- Develop partner facilitation strategies to address conflict resolution and solicit input on City initiatives.
- Develop audience appropriate content to communicate complex messaging.
- Coordinate, consolidate and analyze reports, including design methodologies and tools to streamline and enhance reporting efficiency and effectiveness.
- Analyze current operational processes, performance measures and services while identifying opportunities to leverage existing and emerging best practices.
- Compile strategic and forward-looking agendas, attending meetings to document key actions and critical decision/discussions, as well as distributing and ensuring action items are completed on time.
- Act on behalf of the Senior Executive Advisor as required.

**Qualifications**
- A degree in Business, Communications, Political Science, or a related field plus at least 5 years of relevant experience.
- Intermediate proficiency with Microsoft Office Suite (PowerPoint, Excel, Word, Teams), SharePoint and Adobe Acrobat Pro.
- Preference will be given to applicants with the following:

- An understanding of municipal governance and operational processes.
- Experience with Escribe software and Content Server.
- Experience with Freedom of Information and Protection of Privacy (FOIP).
- Experience in coordinating projects involving diverse audiences, demonstrating an ability to establish effective processes and systems to address challenges, fulfill needs, and enhance efficiencies.
- Success in this position requires:

- Effective collaboration skills with an emphasis on relationship building.
- The ability to communicate effectively while maintaining a high level of customer service, confidentiality, and discretion.
- Strong negotiation skills, the ability to organize and prioritize tasks, a high attention to detail, initiative, problem-solving ability, and adaptability in a fast-paced environment.
