Primary Function

The primary responsibility of this position is to provide day to day administrative assistance, perform standardized administrative duties in accordance with established policies, procedures and schedules for the Information Governance team or as assigned by the supervisor. This position is responsible for coordinating all administrative details for meetings and training sessions, which includes scheduling, liaising/communicating with participants in coordination of logistics, producing high quality minutes of meetings and preparing materials for meetings.
The position is also responsible for maintaining filing systems and/or information systems, (i.e. database on personnel, library holdings, Tribal Councils or First Nations lists, etc), receiving and sorting mail, transcription, correspondence, copying, filing, collating documents, processing standard forms, and responding to routine information requests.

**Typical Duties and Responsibilities**

**Administration**
- Transcription of taped recordings, handwritten or typed documentation.
- Preparation of correspondence, including proofreading.
- Preparation of meeting information, recording, transcribing, and distribution of minutes.
- Review and sort incoming/outgoing mail.
- Keep lists, database, calendars, mailing labels, etc. updated.
- Assist with coordination of project activities.
- Data collection and tracking of incoming confidential information.
- Assist with coordination of project activities.

**Communication**
- Keep updated on developments within projects.
- Maintain regular communication with the Regional Project Coordinator through reports and updates.
- Ability to maintain good working relationship with others.
- Establish and maintain good working relationships internally and externally.
- Assist in compiling and/or coordination of reports.

**Meetings**
- Book meeting rooms and audio-visual equipment.
- Coordination of per diems and notices.
- Preparation of meeting information, take minutes of meetings and distribution of the minutes.
- General Phone Inquires
- Answering calls/message taking.
- Respond/refer requests for basic information

**Other**
- Other related duties as may be assigned from time to time.

**Qualifications**

**Education**
- Secretarial Diploma or Certificate

**Experience**
- Minimum of three (3) year within an office environment including experience in recording meeting minutes.
- Computer skills - Microsoft Word, Excel, PowerPoint, Outlook and Internet.
- A combination of education and experience will be considered.
- Knowledge and understanding of First Nations customs, culture and history.
- Salary is based on an established grid and commensurate with qualifications and experience._

- Monday to Friday

Ability to commute/relocate:

- Saskatoon, SK S7R 0M9: reliably commute or plan to relocate before starting work (required)

**Education**:

- Bachelor's Degree (preferred)
