The Edmonton Police Service (EPS) has a mission to be relentless on crime and be a leading partner in building community safety. In service of this, the Enterprise Project and Portfolio Management Office (EPPMO) works to ensure projects and portfolio activities are conducted to the benefit of the overall EPS Strategic Plan. In other words, we aim to ensure strategic plans and objectives are tied to the execution work that brings those plans to reality.
The EPPMO requires a highly effective person to join us and provide project controls and reporting, data management and analytics, as well as support the evolution of the EPPMO’s governance framework and organizational partnerships. This role is key to the EPPMO as the centralized information hub and analysis centre for the execution of strategic initiatives in support of the Edmonton Police Service strategic plan. Duties include:
- Support the operation of the Project and Portfolio Management (PPM) system which includes monitoring content and data in the PPM to ensure accuracy and supporting the EPPMO and key partners in the use of the Project and Portfolio Management system
- Support project managers and EPS leaders in the management of strategic initiatives, including delegated project activities.
- Determine the most effective method to track PMO/Project key performance indicators to identify trends and potential data issues in the PPM system. This will include the production of data as well as the evaluation of data and recommendations for action (examples of data includes project and portfolio financials, schedule, deliverables, risks, impacts, etc.)
- Develop, maintain, and produce reporting, dashboards, and presentations, including individual project updates, KPIs across projects, and EPPMO presentations. This will include working with partners in the organization to develop automation solutions for reporting and dashboards suitable for distribution to diverse stakeholders.
- Support the development of and maintenance of EPPMO Project Delivery processes.
- Support project impact assessments and maintain and analyze data based on these that are validated and tracked with key stakeholders and EPPMO team members.
- Create and maintain PMO Governance templates.
- Contribute to the flow of communication within the team, by actively participating in team meetings and championing support to help the project management team.
- Coordination of project meetings, including preparing and distribution of meeting materials and agenda; attending and providing effective feedback.
- Updating project status reporting and project artefacts as applicable including risks, issues, actions, decisions, benefits, budgets, resource plans and change requests.
- Setting up project cost management templates, monitoring project financials and total financials across projects.
- Demonstrate accountability for delivering your own work as well as keeping commitments to others.
We need someone who thinks it is an interesting and fun challenge to help us optimize how we execute on strategic initiatives in pursuit of delivering on our strategic plan. Someone who has good organizational skills, is good at partnering with stakeholders, managing expectations and crafting plans while also being really good with data and analytics (we need someone who can do a lot more than just build pivot tables). We need to balance giving you the opportunity to get involved in projects, but with a primary focus on the full complement of projects we are running, and ensuring we are using the right data, modeled the right way, and are using it effectively to execute our strategic plan.
**Qualifications**:
- University degree (preferably at a master's level) in business administration, or related degree
- Minimum of four (4) years experience working as a project coordinator or equivalent role, demonstrating the skills outlined in this job description (generating and analyzing data, supporting project delivery, working with stakeholders, etc.)
- Highly advanced skills with Microsoft Excel or Google Sheets, which will be tested as part of the hiring process.
- Strong skills in the use of project management software, tools, and techniques. Preference given for demonstrated experience with SmartSheets.
- Demonstrated experience in business intelligence/analytics, including developing reports and dashboards.
- Excellent written, communication, and presentation skills, including facilitating meetings.
- Experience working in or with a Project Management Office.
- Promotes teamwork and cooperation and proactively assists and involves others.
- Recognized certification in one or more of the following areas: Project Management (PMI; Prince2), Business Analysis, Organizational Change Management, and Business Intelligence.
