**Job title**: Service Coordinator

**Job overview**: The Service Coordinator is responsible for maintaining schedules, planning and coordinating service work for customers. This position is also responsible for supporting our customers with their product inquiries and orders as required.

**Reports to**: Service Coordinator Supervisor

**Tasks, Duties and Responsibilities**:

- Collaborate with other departments (Sales, Purchasing, Accounting, Logistics, etc.) to ensure that service provided exceeds customers’ expectation.
- Collaborate with Service Supervisor to create service schedule.
- Generate work orders, coordinate and quotations and monitor progress of jobs to ensure they follow company’s standards, clients’ expectations and comply with current legislation.
- Manage Service calendar, confirm and verify service appointments, update team of rescheduled appointments and create recurring orders as required to meet external and internal requirements for compliance, maintenance, preventative maintenance.
- Communicate efficiently and effectively on all aspects on service activities to the appropriate department/person.
- Review and evaluate service reports, inspection intervals, and change-outs. Suggest and implement corrective actions where necessary.
- Work with the Service Supervisor to coordinate the activities of the Service Department and maximize department’s effectiveness and efficiency.
- Ensure careful record-keeping, data collection of all service works, team time cards, information from contact with customers, Smart Sheet updates and related service information.
- Build positive, collaborative relationships with all points of contact and work collaboratively to utilize available resources to successfully meet customers’ needs and expectations.
- Provide internal and external reports.
- Manage service inventory in the Service Warehouse.
- Other duties as assigned.

**Educational requirements**:

- Completion of high school.
- Post-secondary education is an asset.

**Physical requirements**: Standing; walking; bending; dusty environments; sitting.

**Knowledge, skills, abilities and other competencies**:

- Minimum 2 years’ coordination experience.
- Excellent attention to detail is a must.
- Strong organizational and time management skills.
- Demonstrated customer service orientation and interpersonal skills.
- Strong computer skills, including Excel and Outlook.
- Experience with Microsoft Dynamics AX or a similar ERP system is preferred.
- Experience with forecasting/inventory management is an asset.
- Familiarity with LEAN principles is an asset.
- Ability to succeed in a fast-paced environment.
- Adaptable and self-motivated to work well individually and collaboratively with different teams.
- Proven problem-solving and decision-making skills to work proactively in a rapidly changing environment.
