We are a well-established, globally successful, Sarnia-based ecommerce company focused on the outdoor decor industry. Our office is seeking a qualified Accounting & Administrative Assistant to join our accounting department.

This role requires a high level of attention to detail to make sure our payments are made in a timely matter and our records are complete. An applicant with experience working within an ecommerce environment is highly sought-after. Knowledge and confidence working within Netsuite is also a key skill set Vita’s team is looking for.

The Accounting & Administrative Assistant is responsible for providing efficient clerical support while preparing invoices and statements; reconciling accounts and posting to general ledgers and other accounting records based on standard accounting practices. The Accounting & Administrative Assistant will report directly to Vita’s Financial Controller.

The **roles and responsibilities** of the Accounting & Administrative Assistant include but are not limited to the following:
**Responsibilities**
- Using bookkeeping databases, spreadsheets, and software such as Microsoft Excel
- Managing accounts payable and accounts receivable
- Receiving and recording cash and cheques
- Checking for accuracy in reports, figures, and postings
- Process credit requests from new customers and vendors as needed
- Process daily credit memos
- Reconcile company credit cards monthly
- Follow up with past due accounts on a weekly basis
- Send monthly statements to customers
- Filing
- Respond to customers inquiries regarding billing, balances, etc
- Maintaining general office files, including job files, vendor files, and other files related to the company’s operations.
- Purchasing office supplies, equipment, and furniture.
- Invoice shipped orders
- Provide support to Vita’s Operations Team

**Qualifications**
- Minimum of 2 years of experience
- Demonstrates rigor, attention to detail, good learning ability, ability to work under pressure, autonomy, and meeting deadlines
- Knowledge of an Netsuite ERP system (asset)
- Experience in a multi-site and multi-currency environment (asset)
- Good knowledge of MS Office suite software (Excel, PowerPoint)
- Familiarity with the general principles of accounting
- Excellent analytical, financial, and mathematical abilities
- Exceptional attention to detail and accuracy
- Extremely trustworthy and professionally-minded
- A self-starter and bias to action. Whatever challenge you face, you find a way to solve it
- Strong teamwork skills. Nothing big can be accomplished standing-alone in front of a computer. We are a TEAM above all else.
- Ability to work in an ever-changing work environment where the daily tasks can change frequently. This person is a fundamental building block to a growing team.
- Phenomenal communication skills with proactive follow-up both internally and externally.

**Job Specs**:

- On site position at our Sarnia, ON office - open office environment, dog-friendly
- Hours are 8AM-5PM EST
- The position starts with a 6-month probationary period, with the offer of a full-time position if expectations are met.
- Vita offers competitive wages, benefits package options and qualification for profit sharing (after one year of full-time employment)
