**OVERVIEW**

Working under the direct supervision of the Human Resources Manager, and in collaboration with the President and Vice President, the Administrative Assistant will take on regular office duties, as well as assistant tasks. They are expected to maintain employee directories and essential contact information, schedule meetings and excursions for the Executives, and maintain the office facilities.

**RESPONSIBILITIES**
- Purchasing and tracking of office stationery (i.e., kitchen supplies, etc.).
- Handle all financial aspects
- with the help of the team, as needed
- as it pertains to the office.
- Maintaining a presentable appearance of the office and its facilities.
- Receive, track, and/or deliver packages that are both incoming and outgoing in accordance with our policy requirements.
- Lesioning between the Building Management and WeFX’s management in terms of mail, changes to the office, building temperature, and more.
- Collect mail as needed from the building management, and sort if accordingly.
- Assist, as needed, with arranging corporate and social events.
- Help maintain and organize filing systems of paper and electronic documents.
- Deal with any office-related facility issues that may arise.
- Assist HR with maintaining compliance on policies and company requirements.
- Vendors list inquiries, changes, and challenges.
- Greet visitors professionally and ensure their first impression of the company is positive.
- Maintaining employee directories regularly to ensure their accuracy.
- Maintain the company’s internal website.
- Assist the Creative Director to create a positive and upbeat culture within the office.
- Collecting office receipts as needed to forward them to Accounting.
- Must be able to be in the office every day of the week to receive and send out packages.
- Receive tasks from the President and/or Vice President that may need your support.
- Coordinate and manage the President’s calendar and schedule as required.
- Coordinate with the Administration team when other tasks need completion.
- Any other items that may be needed from an Administrative Assistant.

**REQUIREMENTS**
- A working knowledge of the office management system and procedures.
- Knowledge of office equipment, such as printers and fax machines.
- Ability to take initiative on tasks.
- Knowledge of Microsoft Office (especially MS Excel and MS PowerPoint).
- Exceptional time management skills as well as the ability to prioritize tasks.
- Detail-oriented and problem-solving abilities.
- A strong ability to communicate both verbally and in writing.
- Ability to multi-task with excellent organizational skills.
- Additional experience in a similar role will be an asset.
- Must be available to work in the office from Monday to Friday, from 9am until 6pm.

**Job Types**: Full-time, Permanent

**Salary**: $40,000.00-$50,000.00 per year
