Vancouver, Canada Eminence Organic Skin Care Full time

**Role Summary**

As the Order Services & Administrative Representative (OSAR), you will be responsible for entering orders, arranging international shipments for distributors, and processing specialized orders for Eminence's internal teams and Team-members. Additionally, you will provide essential coverage to the Order Services Team, handling orders for North American Customers. As the OSAR, your role is crucial in ensuring efficient order processing and smooth operations within the company. You will report to the Order Services Supervisor.

**Responsibilities**
- Process all orders for International Distributors, Major Accounts, Staff Orders and Specialized Orders - including special orders for Marketing and PR
- Provide coverage to the Order Services Team to process orders for North American Customers
- Collaborate with internal teams to ensure order processing and resolve any problems or questions with orders
- Maintain logs of orders, Customer activities and completed work by entering all order information into Eminence's Customer database (CRM)
- Communicate with Customers and Team-members regarding the details of each order, including payment totals, payment details and credit card processing
- Communicate and coordinate with freight forwarders and shipping carriers for international pick-up
- Communicate Distributor packaging and shipping instructions to the appropriate contacts in Eminence's Supply Chain team
- Audit orders to ensure accuracy and communicate any changes to the appropriate teams
- Run a daily reports, such as Transaction List (summarizing outstanding orders) and shipping reports
- Perform other administrative tasks as required

**Qualifications**
- Office administration experience - minimum 1 year
- Customer Service experience - minimum 2 years
- Customer Returns experience - asset
- Experience working with Shipping carriers - asset
- Accounting software experience - asset
- Customer Relationship Management (CRM) software experience - asset
- Familiarity with Customs Documentation and CBSA CERS portal - preferred
- Excellent verbal and written communication skills
- Moderate understanding of Microsoft Office Suite, including how to effectively use the software to administer all functions (Intermediate MS Excel, Word and Outlook skills required)
- Exceptional Time Management and adherence to deadlines
