**The Opportunity**
The Anglican Diocese of Toronto is looking for an experienced administrative assistant who will work with the Suffragan Bishop and support them in their mission to increasing our capacity to respond as vibrant partners of God’s activity in the world. The Administrative Assistant will provide administrative support for the Suffragan Bishop’s episcopal ministry and the deaneries they oversee including scheduling and managing the calendar, preparing for parish visits, confirmations, clergy moves and other special events, and supporting the Suffragan Bishop’s diocesan, national, and international ministries.
**Major Responsibilities**:
- Provide support for the Bishop in their role as Suffragan Bishop.
- Provide support for the Canon Administrator and Archdeacon in their roles, as they support the Suffragan Bishop.
- Maintain links with clergy in the deaneries, Diocesan and national offices.
- Schedule appointments and regular meetings (Bishops, governance bodies, Directors etc.) as requested.
- Schedule parish days, Sunday visits, and confirmations. Send letters to parishes requesting pertinent information about their service and the Suffragan Bishop’s role.
- Prepare clergy appointment letters on behalf of the Suffragan Bishop and monitor contract expiry dates.
- Prepare clergy documentation on behalf of the Suffragan Bishop regarding permissions.
- Ensure that the database and website information under the Suffragan Bishop’s oversight is up-to-date and accurate.
- Plan and coordinate events.
- Prepare reports, minutes, and newsletters.
- Provide staff support to the Area Council that the Suffragan Bishop is responsible for.
- Review all requests for the Suffragan Bishop’s support to ensure completion following Diocesan practices and policies.
- Keep track of related budgets and inform the Suffragan Bishop of any areas of concern.
**Values, Skills and Experience for this position**
- 5 years related administrative assistant experience.
- Excellent collaborative skills, ability to work in a team, and the ability to build and maintain relationships.
- Demonstrates a strong level of adaptability, flexibility, accountability, innovation and commitment to best practices.
- Excellent interpersonal and communication skills both verbal and written.
- Ability to show good judgement and maintain confidentiality. Awareness of the boundaries of the position is essential.
- Managing many and varied tasks and cope equitably with interruptions.
- Strong organizational skills and the ability to take initiative and work independently.
- Ability to keep calm under pressure and deal pleasantly and professionally with people in the office and beyond.
- Excellent customer service and ability to resolve problems diplomatically.
- Advanced knowledge of word processing formats and operations, MS Office (Word, Excel, PowerPoint, Outlook, Teams), databases, and online meeting tools.
- A good working knowledge or a willingness to become familiar with processes, structures and norms of the Diocese and the Anglican Church of Canada from parish to national level. Knowledge of the Anglican international structure and inter-church relations is also helpful.
