**Job Title**: Event Planning and Catering Assistant
**Location**: 43645 Industrial Way, Chilliwack, BC
**Job purpose**:Ensure all events are executed as planned, doing whatever it takes to make them successful.
**Key Result Areas**
- Internal and External events are executed effectively
- Southern Irrigation brand maintained in all events
**Job Duties and Responsibilities**
- External Events
- Provide **excellent** food and beverage service for all events
- Preparing tables, serving stations, or buffet tables for service
- Running food from the kitchen to the tables
- Serving food and beverages to guests at their tables or at serving stations, depending on the event
- Creating a pleasant atmosphere for dining and entertainment
- Communicating with colleagues and the Location Leader to ensure a smooth event
- Providing bar service when it is required for an event
- Cleaning up after events and aiding in inventory of event supplies
- Conduct tours and meetings with potential clients for prospective events
- Coordinate with the Chef and Events Coordinator for all day-of-event tasks, including catering assistance, event space set up/tear down, banquet service during the event, etc
- Ensure satisfaction by communicating with the client throughout the event regarding any changes, substitutions, or special requests (e.g., refilling drinks, delivering food, bussing tables, etc.) and following up with the event host at the conclusion of the event
- Perform other event-related duties as assigned by the Events Coordinator, Chef, or Location Leader
- Ensure feedback received from the host/guests is passed on to the Events Coordinator and/or Location Leader
- Internal Events
- Coordinate transportation of event-related items with the Shipping department. Including display, SWAG, décor, etc.
- Assist with booking vendors, including but not limited to Catering, Audio/Visual, Photography/Videography, Tents, Tables & Chairs, etc.
- Weekly meetings with the Events Coordinator to discuss upcoming events and debrief past events
- Contribute to ideation for better promotion/display at tradeshows
- Assist the Events Coordinator with planning tasks for any other upcoming events across all locations
**Competencies**
- Excellent communication and interpersonal/relationship skills
- Experience running events as Day of Coordinator (Asset / Not required)
- Must be proficient in the use of Microsoft Word, Excel, Adobe, and Outlook
- Must be highly organized, **efficient,** and detail-oriented
- Strong ability to problem solve and think on your feet
