Office Manager

This position entails providing office management and administrative assistant supports at a busy and growing private practice Occupational Therapy clinic in East York, ON.

**Qualifications**:

- Completion of recognized medical office administration program at the diploma level or equivalent
- Completion of a medical terminology course (preferred)
- One (1) year related medical administrative support experience
- Previous on-the-job computer/word-processing, database and spreadsheet software experience, in a Microsoft Office Environment preferred
- HCAI billing
- Very good command of medical terminology
- Very good interpersonal and customer service skills
- Good organization and time management skills
- Good verbal and written communication skills
- Ability to work well under pressure
- Ability to use good judgment in assessing difficult situations
- Ability to work independently and as a team player
- Experience working in a health care environment preferred
- Experience working in a MVC clinic environment preferred
- Knowledge of general office practices, procedures and standards

Primary Responsibilities
- Coordinate a detailed and accurate intake of client information upon receipt of client referral and throughout their treatment plan
- Answer telephone calls, call adjusters, communicate with clients and providers and provide details responses for all questions or concerns
- Coordinate scheduling of internal team activities and maintain the patient’s medical record (including managing clinical notes and records requests)
- Process incoming mail and payments from insurers
- Track coverage for all funding streams to ensure approval
- Complete data entry and billing (e.g. monthly provider billings, creation of OCF-21s)
- Provide administrative support to Clinic Directors
- Completing quarterly audits on providers
- Coordinate team social events

Qualifications & Core Competencies
- High School Diploma, G.E.D. or equivalent
- Excellent customer service skills and telephone etiquette
- High degree of organizational skills and ability to prioritize and multi-task
- Excellent communication (verbal/written) and interpersonal skills
- Strong computer and data entry skills
- Flexible and adaptable to change
- Experience in a Occupational Therapy (or any private rehabilitation) clinic an asset

**Salary**: $21.00-$25.00 per hour
