**Job description**: Regional Office Assistant
As the Regional Office Assistant, you will be responsible for providing administrative support to the leadership team in Calgary including the VP, Office Leasing & Operations and the VP, Office Operations as well as coordinating the day to day services of the regional office. You will be required to exercise initiative, coordination and judgment in order to support multiple activities on behalf of the team. **As a member of this team, you will be responsible for**:
Providing a full range of support to the VP, Office Leasing & Operations and VP, Office Operations
Handling document preparation support, including advanced Word processing and PowerPoint presentations
Preparing routine correspondence, meeting materials and reports
Coordinating internal and external meetings and making all vital meeting room bookings and catering arrangements required
Maintaining calendars/schedules
Preparing expense reports in adherence with company policies and departmental budget guidelines
Making travel arrangements (including booking flights and accommodation)
Providing support for special events and projects, some of which will be outside of regular working hours
Maintaining files for departments as required
Photocopying, scanning and coordinating the administration of the department's work
Oversee day to day activities of the regional office including coordination of supplies & office equipment, furniture and workstations and management of all related vendors
Supervision of reception staff and activities
**To succeed in this role, you should have**:
Minimum 3 years of administrative experience at an intermediate level. Demonstrated experience in Real Estate is an asset
Excellent written and verbal communication skills
High confidentiality standards and ability to exercise good judgment
Proactive and forward-thinking
Multi-task among several competing priorities and managers
The ability to be flexible and adaptable to differing workloads
A great teammate who is willing to go above and beyond to assist other staff members
Excellent planning and time management skills and willingness to take ownership of tasks
Strong customer service attitude
Hospitality experience an asset
