**Executive Assistant**

**This is an in-office position located in Guelph, ON
**Performance Expectations**
- Perform extensive administrative and general support duties in a highly responsible and confidential manner.
- Manages logistics for internal and external meetings, conferences and teleconferences across multiple time zones.
- Be the Gatekeeper on the Executives’ schedule and with the ability to change and re-prioritize as required.
- Booking all aspects of international travel including flights, accommodation, and ground transportation
- Prepares correspondence, presentations, reports, minutes, and related material.
- Ability to evaluate completeness and accuracy of agendas, meeting minutes and presentations.
- Supports requests from the department to format and finalize detailed technical reports utilizing information supplied in various forms.
- Summarize meeting discussions and decisions.
- Obtain information on lists and graphs as well as enter data into tables.
- Managing special ad-hoc requests and projects as needed.
- Prepares expense accounts and credit card statements and reconciles with supporting documentation.
- Calculate reimbursements for expenses and monitor budgets.
- Assess appropriateness of print materials for publication as needed.
- Coordinate schedules and integrate job tasks with co-workers to ensure efficient and timely completion of tasks.
- Supports and creates communication for the Executive for both internal and external distribution including social media.

**Credentials**
- Post-Secondary Education in Office Administration or related field or equivalent experience.
- Minimum ten years experience in a senior administrative capacity.
- Must have a high level of integrity and discretion working with confidential and sensitive information.
- Must have extensive experience in booking and organizing international travel. This includes arranging and booking all aspects from travel to meetings. Travel will often be for multi
- country trips.
- Advanced skills in are required in Word, Excel, PowerPoint, Access, and Outlook.
- Strong organization, planning, multi-tasking, and time management skills with the ability to make decisions and prioritize work with mínimal supervision.
- Ability to work in a fast-paced environment (quick to learn and adapt) with challenging and changing deadlines.
- Understanding of social media best practices for business including Instagram, Facebook and LinkedIn.**Desired Characteristics**

- Ability to work in a fast-paced environment with changing deadlines and willing to work overtime to meet deadlines when required.
