**Summary of Position**:The Sales Receptionist is responsible for being the first impression and contact to clients, staff, and suppliers. By being the brand ambassador of Brian Jessel BMW, the Sales Receptionist must present a professional image by making a priority of answering incoming calls, appropriately and efficiently directing callers, greeting clients and suppliers all the while multi-tasking and remaining pleasant and courteous. This position will also provide general administrative support to all staff that requires assistance in this manner.
**Responsibilities & Accountabilities**:
- Provide friendly, professional, and courteous customer service
- Meet and greet all clients in the showroom or on the lot and direct them to the appropriate associate or department
- Provide general administrative support, including faxing, photocopying, mail distributing and filing, entering data, etc.
- Stock incoming vehicles, print purchase orders and create window stickers
- Maintain office equipment & showroom supplies (paper in the fax machine/printers, brochures on the shelves, etc)
- Record daily sales “Ups”
- Maintain a working knowledge of where everything is on the lot and in the dealership, to better direct and assist customers
- Responsible for making a list of window stickers when needed, and for placing window stickers in all Pre Delivery Inspected/ Detailed Units
- Receive and send couriers
- Maintain the cleanliness of the showroom, customer lounge, and reception desk areas
- Replenish and tidy lounge area including coffee machine and surroundings as needed
- Maintain the showroom, decorations, and holiday hours postings
- Use MS Office to create spreadsheets, track, transcribe correspondence, memos, short reports, and other documents as needed
- Assist the New Car Sales Assistant as needed
- Print card machine settlements
- Send delivery schedules to ALL West Insurance
- Update RDR status reports
- Create daily electronic subscriber agreements for the days’ deliveries
- Create wholesale invoices, prepare Regis and transfer forms for Traderev vehicles sold at auction
- Print out and distribute: feature sheets for lot staff, finance folders
- Fill out new buy-in and trade-in-Regis
- Upload vendors’ invoices to OneEighty for accounting
- Source detailed damage reports from ICBC
- Pull customer deals from storage for accounting
- Organize lease return keys and prepare for Adesa pick-ups and AutoVin inspections
- Administrative support: make service appointments at other dealerships for Steven and Juvan
- Scan and file service inspection reports for each vehicle
- After hours service pickup cashiering duties
- Other duties as assigned by management
**Skills & Qualifications**:
- Post-secondary administrative training or equivalent practical experience
- 2 years of experience in a customer service setting and/or similar role
- Exceptional customer service skills
- Proficient with MS Office (Outlook, Word and Excel)
- Reynolds and Reynolds & 180 System computer experience
- Ability to work independently
- Demonstrated team player capable of interacting professionally with staff, distributors and customers
- High attention to detail
- Excellent organizational skills with the ability to multitask
- Excellent communication skills to converse with a diverse clientele
**Work Environment**:
The hours of operation for this position are detailed below:
- 3:00 pm to 7:00 pm Monday to Thursday (Occasionally 8:00am -12:00pm)
