**Administrative and Financial Assistant (Full-time)**
The Marine Environmental Observation, Prediction & Response Network (MEOPAR) is looking for an Administrative and Financial Assistant to join our team of Administrative Centre staff. Our office is located in the Steele Ocean Sciences Building, Dalhousie University, Halifax, Nova Scotia, and our team works flexibly between the office and their home locations.
This is a full-time position, available immediately.
MEOPAR is a not-for-profit network with a 12-year history of supporting leading-edge research and connecting top researchers across Canada with highly-qualified personnel, partners and communities to address, together, problems and opportunities of the changing marine environment. MEOPAR was recently awarded funding under Canada’s Strategic Science Fund to continue to enable a coordinated Canadian approach amongst diverse ocean-connected organizations, sectors, regions, and people to build resilience of coastal and Indigenous communities and enhance opportunities for the Blue Economy.
**Position Description**:Reporting to the Managing Director, the Administrative and Financial Assistant will support MEOPAR’s Administrative Centre by assisting with monitoring of financial management, as well as program management, travel, human resources and general administrative support.
Specific responsibilities include:
- Provide accounting support to the Financial Controller, process payments, filing electronic records, data management, assist with reporting and reconciliations, scanning documents, and other duties as assigned.
- Process payment requests, invoices, cheque requisitions and maintain electronic filing system of expense transactions.
- Maintain inventory of equipment bought for, and used by, staff. Facilitate any equipment purchases.
- Process payroll timesheets as needed, submit exception payment requests and answer any queries that might arise around payroll.
- Help manage calendars (including vacation) and scheduling of meetings.
- Support the activities of the Board of Directors (and its committees).
- Work closely with MEOPAR’s Administrative Centre and its Scientific Directors to ensure all reporting is accurate, complete and on-time.
- Communicate effectively and diplomatically with stakeholders including university, government and industry partners, and the public in general, both verbally and in writing.
- Support the operational efficiency of the organization.
**Qualifications and Position Requirements**:
- Extremely well organized, with the ability to prioritize tasks, work under pressure with attention to detail, ensuring confidentiality, and accuracy.
- Completion of Business or Office Administration Program, with a minimum of 3 years’ related work experience (or equivalent combination of training and experience) is required.
- Highly proficient in computer skills (MS Office, Sharepoint, Teams, Zoom, Quickbooks, etc.) and handling of shared documents.
- Experience providing accounting and finance support to a not-for-profit organization preferred.
- Experience with project accounting and consolidated reporting, considered an asset.
- Excellent interpersonal, project management, analytical and communication skills.
Salary range: Commensurate with experience
