**ASSISTANT PROPERTY MANAGER**

Reporting directly to the Director, Residential Real Estate, the **Assistant Property Manager** plays a crucial role in the effective management and maintenance of the mixed-use portfolio in Ottawa. This role supports the Team in a variety of aspects including property operations, tenant relations, and administrative tasks to ensure the effective management of the day-to-day operations of the portfolio of properties in a team environment.

**Responsibilities**:

- Tenant Relations - assist with tenant inquiries, address tenant concerns, requests, and maintenance issues promptly and professionally.
- Assist the Residential Coordinators and provide leasing/ tenant services coverage when required.
- Assist the Property Manager in the preparation and submission of the monthly reports and annual operating budgets for each property, with the assistance and collaboration of the various departments and team members.
- Assist in the preparation for and attend monthly/by-weekly property meetings.
- Assist with the preparation and tender for all operational contracts and assist with planning and execution of CapEx projects.
- Liaise with building operators in managing the efficient and effective day-to-day operations of the property.
- Schedule service calls for requests that don’t provide authority for access. Input the appointment in the property calendar and advise the Ops Team.
- Each week in collaboration with the Operations Lead/Manager review outstanding maintenance requests, schedule and/ or close out as appropriate.
- Assist with administrative support to the Property Managers and Building Operations staff including but not limited to preparation and monitoring of POs, liaison with vendors and service providers, and accounts receivable support.
- Work with accounts receivable for the delivery of N-2’s and N-4’s and filing the documents in SharePoint once served.
- Other duties as reasonably required.

**Qualifications**:

- Minimum five (5) years real estate industry experience, including hands-on property management and multiple property responsibilities.
- Post-secondary diploma or degree in a related field.
- Valid Class G driver’s license and a reliable vehicle.
- Excellent communication, both oral and in writing, organizational and attention to detail skills; Bilingual (French & English) is an asset.
- Ability to work under pressure and achieve quality results.
- Ability to work in a team environment with mínimal supervision.
- Ability to assess a situation and resolve problems using facts, strategic problem solving and analytical skills.
- Ability to provide a clean criminal record check (at company's expense).
- Intermediate or advanced level of proficiency in office software including Microsoft Word, Excel and Outlook.
- Self-motivated with the ability to allocate one's time effectively, multi-task and prioritize competing demands within required deadlines.
- Commit to actively pursue continuing education to achieve industry relation designations.
- Industry related designation(s), including SMT, SMA, RPA preferred.
- Working knowledge of the Ontario Landlord Tenant Board regarding issues and rules between residential landlords and tenants.
