Kanata, Canada KRP Properties Full time

The Property Management and Technical Operations Administrator will report to the Senior Property Manager and will act as the secondary contact for tenants within their assigned portfolio of properties within the KRP Properties' extensive portfolio of commercial holdings. They will also be responsible for aspects of property management, including daily operations, KRP and tenant contracts with service providers, and service records while consistently nurturing and maintaining strong collaborative working relationships within KRP as well as with external partners.

KRP has a fantastic team with a flexible, fun work environment, and please note this particular opportunity is considered an in-office presence at our main office location in Kanata, ON.

General Responsibilities:

- Tenant liaison and front-line coordination of day-to-day tenant requests and follow-up in a timely and professional manner;
- Review of lease documents for tenant query resolution;
- Administration of base building and tenant services contracts, including contract implementation, renewals, amendments and terminations;
- Gather, consolidate and distribute utility and waste audit reports;
- Issue purchase orders and approve invoices for recommended and quoted work as approved by the Property Manager;
- Track supplier invoices to match with tenant billings for additional services;
- Co-ordinate communications internally and with tenants regarding client set-up with access to Angus Anywhere; daily monitoring of work ticket software (Angus Anywhere) to accurately assign, dispatch and close work orders;
- Ensure that all client requests dispatched to technicians are completed in a timely manner to maintain the highest level of client satisfaction;
- Maintain and update tenant information, including phone numbers, contact names and emergency contact information, administer tenant notifications;
- Support the property management team with billing and collection processes and responding to all tenant inquiries related to receivables;
- Assist with budget preparation as requested;
- Deliver excellent service to customers through integrity, respect and being results-oriented;
- Identify and communicate potential areas to improve process efficiencies;
- Effectively collaborate interdepartmentally to provide KRP clients with the highest level of customer service possible;
- Complete any other duties as requested or required from time to time;
- Maintain a safe and healthy work environment by researching, establishing, following and enforcing the KRP Safety Policy program and procedures;
- Continuously strive to live by the KRP Values and Mission while promoting our Brand.

Qualifications & Attributes:

- Post-secondary degree or diploma in project management, engineering or architectural disciplines from a recognized university, college or institute is considered an asset;
- 3 years of administrative experience demonstrating effective organizational, administrative, technical, multi-tasking, and communication skills;
- Proven record in the management of multiple priorities and work with mínimal supervision in a rapidly changing environment while maintaining strong attention to detail and achieving deadlines;
- Ability to work collaboratively in a team environment as well as independently;
- Exceptional interpersonal skills with a customer-centric approach is a must;
- Demonstrated flexibility and ability to work in a fast-paced environment;
- Strong attention to detail, data accuracy and organizational abilities;
- Experience working within the commercial property management sector is considered an asset;
- The completion of BOMA property management courses is considered an asset;
- Functional knowledge of building systems and equipment is considered an asset;
- Strong computer literacy and proficiency in Microsoft Office Suite including SharePoint, Planner, TEAMS, FORMS;
- Proficiency in software knowledge will be considered an asset (Angus Anywhere, Yardi, Bluebeam).
