**_Position Summary_**

The Support Services Administrator (SSA) has a multi-faceted role that provides support to key areas on the Brantford campus. The SSA provides vital departmental and administrative support to the Manager, Distribution, Mail and Brantford Retail Services to ensure smooth operations. The SSA role requires independent decision making within a delegated area of authority, working collaboratively within a multi
- campus environment to promote departmental and organizational success.

The SSA is responsible for providing dedicated administrative, financial, customer service, and clerical support, for the Retail, Printing and Distribution departments. The SSA provides front-line support to staff, faculty, students, and external stakeholders including exceptional customer service. The SSA handles highly sensitive and confidential material. The SSA works with a high degree of independence and exercises judgment and discretion in the organization and performance of duties. The SSA position also requires the ability to work collaboratively as part of a team. The nature of the job is complex and demanding, requiring accuracy, maturity, diplomacy, stamina and knowledge of the University and its members. This position requires a combination of strong organizational, computer, and time management skills. This position requires a high degree of attention to detail, and the ability to handle numerous tasks simultaneously in a fast-paced environment. Proven administrative, computer, and interpersonal skills are necessary for success in this role.

**_Accountabilities_**

Administration
- Provides dedicated administrative, customer service, and clerical support as requested for the Retail, Printing and Distribution departments
- Reviews and reconciles all courier and transportation billings for payment, in a timely manner, and presents same with all support documentation to the Manager for approval to pay, and ensures reports are approved and submitted in a timely fashion to ensure monthly charge backs are recorded in appropriate departmental accounts for budgeting purposes
- Conducts continual updates of the Brantford mail room lists, student residence lists, SendSuite administrative database, and the Intelligent Locker System database utilizing different platforms and Microsoft Office software; this is including creating, maintaining, and updating all staff and faculty mailboxes on the Brantford campus, revisions to mail routes, maintenance of residence and non-residence student lists; and sorting, assessing, and taking appropriate action for abandoned mail and parcels

- Completes updates to departmental policies, procedures, documents as needed.
- Processes invoice payments via ShopLaurier eProcurement system for numerous vendors and creates monthly chargeback reports for AP
- Receives incoming freight and electronically receives goods and creates receipts in ShopLaurier. Completes the receiving process, verifying quantities and processing receipts in ShopLaurier for timely payment of vendor invoices
- Processes returns/over-shipments in ShopLaurier at request of Departments (ex. damaged items, incorrect shipment) in conjunction with Procurement and processes replacements and updates ShopLaurier receipt as needed
