**DURATION OF JUNIOR CAMP PROGRAM**: 6 weeks - June 30 to August 11, 2024

The Activity Coordinator is responsible for assisting in the successful delivery of the activities’ component of the ILSC Junior Camp at UBC, ensuring that the activities and field trips are stimulating, structured, and inclusive, and that the welfare, safety and discipline of the students are paramount. This includes overall responsibility for the planning, logistics and successful delivery of all on-campus activities and off-campus field trips. The role requires an experienced leader, capable of managing a team of 15+ staff members in providing a safe and fun summer language program and a memorable Canadian cultural experience.

This is a key management role and a full-time, fixed-term position. Due to the nature of the work, your hours may vary and may be irregular. The Activity Coordinator is required to live on-site at the UBC residence. Accommodation and meals are included while the Junior Camp is in operation, from June 28-August 11, 2024.

**Work Schedule and Timeline**

The position will begin as a part-time position on April 1, 2024, and compensation will be on an hourly basis at a rate of $20-$22/ hour. The Activity Coordinator position will be eligible for a project completion bonus, the details, and conditions of which will be communicated during the hiring process.

The work schedule is as follows:
**Part-Time Hours**

April 1, 2024-May 24, 2024 (8 hours per week)

May 27, 2024-June 7, 2024 (10 hours per week)

**Location**: ILSC Vancouver Campus

**Full-Time Hours**

The position will become a full-time salaried position from June 10, 2024-August 11, 2024. Your weekly work schedule will consist of six days of work per week, with 1 full day off per week. The weekly salary will be $825/week.

**Job Duties and Responsibilities**

The job duties of this position include, but are not limited to:
**Program Planning**

April 1- April 12, 2024 (Part-time)
- Schedule and confirm all bookings for excursions with vendors, transport companies and operators, including obtaining quotes, creating/updating reservations and managing the budgeting and invoicing of these bookings
- Schedule and plan the on-campus evening activities
- determining any required supplies or materials and provide Centre Director with an itemized list as well as associated costs

**Staff Recruitment and Training**

April 15-May 10, 2024 (Part-time)
- In collaboration with the Centre Director, participate in the interviewing and hiring of both onsite and offsite activity leaders

June 26-June 28, 2024 (on UBC campus)
- In collaboration with the Centre Director, assist in leading the pre-camp staff training for Activity leaders, ensuring that all team members have a clear understanding of the Juniors summer program, their roles, and responsibilities, and that all staffing schedules have been clearly outlined and shared with staff

**Program Inventory and Set Up**

May 13-May 31, 2024-Part-time

June 3-June 28, 2024-Full Time
- Assist in setting up the Juniors Program in advance of students’ arrival, including unpacking, distribution, and storage of program materials
- Assist Centre Director in planning the training program for Junior Camp Activity Leaders
- Ensure sufficient Juniors Program signage is displayed appropriately.
- Complete a full inventory of program materials such as T-shirts for students and staff, SIM cards if required, lanyards etc. and monitor usage, reporting any missing or damaged equipment to the Centre Director

**Program Management**

June 30-August 11, 2024
- In collaboration with the Academics Manager and Centre Director, manage and enforce policies, procedures, and support systems for the Junior Camp at UBC
- Welcome the students on the first Sunday of their arrival, and assist the Centre Director and Academics Manager in coordinating student orientation, providing a tour of the residence and classrooms, allocation of and room check-ins, banking needs, calls home and initial “getting to know you” activities
- In collaboration with Centre Director participate in weekly meetings with Group Leaders (chaperones accompanying a group of students employed by travel agency)
- Set up and update the UBC Junior Camp noticeboard daily, ensuring the weekly and daily plan of activities is displayed in an exciting and attractive way
- Liaise with the Centre Director each day regarding planned activities, use of additional facilities and issues of safety, welfare, and discipline.
