Boston Pizza is currently seeking to identify a Marketing Department Coordinator who will maintain a strong presence in the Eastern office and act as an effective collaborator in the Marketing Department. Reporting to the Senior Vice President, Marketing & Communications, the Marketing Department Coordinator will be responsible for providing a high level of support, initiative, integrity, reliability, confidentiality and professionalism. A wide degree responsiveness, a sense of urgency and personal organization is required.

**What you do**:
**Administrative Support (60%)**
- Responsible for all administrative support including any confidential matters and correspondence, which requires professionalism and the ability to handle sensitive material.
- Calendar management for Directors, Senior Directors and Senior Vice President (5 total)
- Travel management, including booking flights and hotels, for Directors, Senior Directors and Senior Vice President (5 total).
- Complete and submit expense reports and medical claim forms for Senior Directors and Senior Vice President (3 total).
- Schedules, coordinates and attends meetings and prepares minutes as required.
- Maintain itineraries, provide personal schedules and provide daily reminders of meetings, preparations required, expense reporting, etc. for Senior Directors and Senior Vice President (3 total).
- Develop PowerPoint presentations with input from Marketing Leadership Team.
- Registration of Senior Directors and Senior Vice President in various courses, conferences and seminars - management of memberships for different organizations and associations they are affiliated with, responding on their behalf for receptions, parties, workshops and presentations.
- Coordination/organization of office space and equipment for new marketing employees
- Undertake daily administrative tasks to ensure the functionality and coordination of the department’s activities
- Perform other ad hoc administrative and office support activities for multiple supervisors.

**Project Management (40%)**
- Draft program memos and other communication as required. Ability to predict when such correspondence will be needed and prepare proactively where possible is an asset.
- Maintain files of all executive documents including correspondence, itineraries, and meetings, either in personal files or in the central filing system.
- Responsible for coordination of various department functions (department off-sites, presentations, speeches, etc.) and meetings, including venue selection and set up, food & beverage coordination, reservations, A/V set up, etc.
- Work with Communications Team to manage Intranet on an ongoing basis.
- Assist with the editing, printing and binding of reports and presentations, occasionally taking meeting minutes, creating spreadsheets for various projects as needed (for tracking, financial models, scorecards) as well as coordinating graphics work as needed.

**Who you are**:

- ** **Minimum three (3) years’ experience in a similar capacity.
- Bachelor’s Degree or Diploma in related discipline or equivalent combination of other education.
- Excellent written and verbal communication skills
- Excellent problem-solving skills
- Team-oriented approach/philosophy
- Proficient in Microsoft Excel, Word and Powerpoint
- Strong organizational skills, can multi-task and handle multiple deadlines
- Proactive team player, but able to perform well independently
- Agency or project management experience an asset
