Personal Assistant to CEO

We are looking for a seasoned exec/personal assistant to support the CEO (based in Liberty Village). You will support both personal and business needs, from errands and scheduling and everything in between. As a personal assistant, you should be organized and comfortable managing a vast array of activities, managing priorities and supporting the CEO in achieving his personal and business goals.

**Highlights**:
This is a part-time position 20hrs/week, with competitive compensation ($25/h)

**This position is hybrid**
- Digital tasks can be completed remotely from home
- Personal and household errands are either completed ON-SITE in LIBERTY VILLAGE, TORONTO.

*I.E. You must be available to conduct these duties 2-3x a week in on SITE in Liberty Village.

**Responsibilities**:

- **Schedule Management**:

- Schedule meetings & tasks to minimize interruptions or context switching
- Prioritizing engagements based on urgency
- Making reservations
- Sending invites
- **Communication Handling**:

- Organizing messages by priority
- Summarizing main updates, flagging messages for personal review
- Deleting clutter, unsubscribing from newsletters
- Drafting messages for executive to send
- Learn and adapt to executive written style
- **Travel Coordination**:

- Research and compile options for hotels and transportation
- Reserve dining and recreation for clients and partners
- Make booking and reservations, fill out forms when necessary
- Draft itineraries to minimize time wasted (spent in transit, layovers)
- **Organizing documents & maintaining records**:

- Open and sort mail
- Paying bills
- Systematize backups
- Send documents to relevant parties
- **Relationship Building**:

- Track important events (achievements, birthdays etc.)
- Send congratulations, greetings, condolences as appropriate
- Arrange for corporate gifts
- Keep up courteous, timely communication with important parties
- **Personal Errands**:

- Grocery shopping
- Shopping, handling returns
- Delivering items locally
- **Household**:

- Auto maintenance
- Scheduling & overseeing contractors

**Required Skills**:

- Proven experience supporting executives
- Track records of effectively working remotely
- Excellent communication and teamwork skills
- Great attention to detail
- Organizational skills
- An analytical mind with strong problem solving skills

**Job Type**: Part-time

Pay: From $25.00 per hour

Expected hours: 20 per week

Schedule:

- Monday to Friday

- Secondary School (preferred)
