Position Summary:
Advising and student affairs experience with emphasis on advising. Ability to listen and provide student with appropriate guidance or referrals. Planning, development, co-ordination, implementation and maintenance of the University's programs, admissions, recruitment, and registrar activities, and the creation and maintenance of student records; government reporting; the placement and counselling of students; the development of standards and practices as it relates to programs and student acceptance criteria; administration of financial aid policies; communication related to immigration issues and legal policies; the performance of the unit's administrative function and the management of employee records and expenses. It also includes the monitoring and co-ordination of projects; the development, implementation and maintenance of information strategies focusing on the needs of prospects, applicants, applicants' parents, guidance counsellors, students, faculty and administration members; and the development and maintenance of relations with high schools, CEGEPs, colleges, other universities, employers and student associations concerning the placement of students, program offerings, and student services related matters.

Primary Responsibilities:
Provides guidance and support to a diverse student population (variety of course related information and complex issues), responds to their academic needs, and facilitates the pursuit of their educational goals.

Advise students and Faculty on student affairs issues. Liaise with faculty, academic units, other Student Services and external organizations.

Take the lead in the decision making on student affairs matters, which encompass student advising, student records, graduation and degree auditing, program requirements, timetable and scheduling, course revisions and proposals,

Responsible for activities related to student record management. Implements systems to enhance policies and procedures.

Participate in the strategic planning for student affairs and provides input on related issues; develop and implement procedures related to advising and student affairs.

Act as representing member on various committees.

Participates in the review and updating of criteria for faculty policies and procedures, as well as in the implementation of new initiatives that support the strategic direction of the department by keeping abreast of new developments and trends in the student affairs field, specifically in areas such as advising approaches and programs and student record enhancements

Maintain and update SAO Website

Establishes and fosters positive and effective working relationships with the administrative and technical teams as well as external stakeholders to support the department’s mission. (i.e. Bar Schools, with central offices at McGill, OSD, Student Records, Timetable services, etc.)

Receive and approve extension/deferral requests of a routine fashion.

Oversees the recruitment, hiring, training and supervision of exam coordinator and invigilator, providing supports during exam operations.

Organizes and animates training sessions for students on Exam Software.

Advises faculty and appropriate University departments on accommodating students in the classroom environment.

Manages the daily operations of the SAO’s’ exam services in order to support students.

Operations include but are not limited to scheduling, workload designation, monitoring of resource needs and use, and best practices regarding record management.

Liaises with OSD to provide accommodated exams on behalf of the Faculty.

Responsible for ensuring that academic integrity during every phase of the exam process is upheld.

Manages communication between the OSD Exam Center and the Faculty for issues concerning exam security, attendance and incident reports.

Assist the Director and Associate Dean with regulations, policies and procedures related to students.

Assists faculty members with examination procedures, mark submission, fair treatment of students following university policies, communication with students.

Oversees the organization of special events and hosting of various workshops

Other Qualifying Skills and/or Abilities

Knowledge of French and English. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
