Department of Mathematics and Statistics

Position Summary:
Reporting to the Manager, Administration in the Department of Mathematics and Statistics, the Student Affairs Administrator will provide guidance and support to a diverse student population in response to their academic goals and needs, ensuring that they make appropriate educational choices while making the most of their University experience. Provide student affairs activities and services to support the daily operations of the Department in accordance with established goals and objectives.

Primary Responsibilities:
- Provide advice and guidance to students on academic issues, their standing and their files. This includes providing information of course selections, withdrawals, deferred and supplemental exams, exemptions, transferability of credits, advance standing.- Offer and refer students to a variety of student services regarding career planning, campus life and engagement, scholarships/student aid, counselling/tutorials, health and mental health, international student services, immigration, services for students with disabilities, and other programs.- Review student files regarding program completion and perform degree audits eligibility for graduation. Make recommendations for graduation. Prepare files and background information for academic appeals and exceptional cases for the Chief Undergraduate Advisor.- Maintain records of student files and procedures and ensure government compliance and reporting. Make recommendations to ensure the smooth functioning of the Department.- Participate in and/or organize student-related activities, events and training workshops (Discover McGill, Open House, graduation, Departmental Undergraduate Research Conference, NSERC SURA, USRA, departmental fairs, orientation sessions, graduation, etc.).- Take part in Departmental and student service meetings. Participate in Committee for Equity, Outreach and Student Well-being (EOSW) including its initiatives, and other committees.- Responsible for the submission of new proposals, revisions and retirements for courses and programs. Review approved changes and ensure they are properly reflected on the e-Calendar.- Liaise with relevant units and Faculties on student files, special cases and procedures.- Administer Independent Study Courses and Project Courses.- Prepare student affairs publications, welcome letters, update Department website and Facebook page, other student affairs materials for Department.- Produce various student reports. Compile statistics and data for student enrolments, annual reports, enrolments to the program, etc.- Assess and resolve problems. When appropriate, inform supervisor and formulate recommendations.- Perform other related duties, as required.

Other Qualifying Skills and/or Abilities

Experience working in an academic environment and dealing with student affairs issues/inquiries and processing student records. Demonstrated ability to clearly transmit explanations to students, exercise patience and maintain composure. Excellent organizational skills and ability to multi-task, work independently and as part of a team. Proven ability to prioritize and meet frequent and regular deadlines. Student-focused and service-oriented with a demonstrated ability to build constructive and effective relationships and find solutions in a variety of situations with all levels of staff, students and the public. Ability to pay attention to details and to verify work for accuracy. Proven experience using social media and technology to improve communication with targeted audience. Excellent writing, editing and oral communication skills. Excellent computer skills and proficient with MS Office, spreadsheets, databases, presentation software, and Minerva. Knowledge of French and English. McGill University is an English-language university where day to day duties may require English communication both verbally and in writing.
