_**HR Business Partner - Project Site Administration **_
- Baker Real Estate,_ a leading pre-construction brokerage in Toronto, is seeking a dynamic **Junior HR Business Partner** to drive our talent acquisition, training, and staffing of pre-construction Project Sales Site Administrators. This role is crucial in shaping our workforce and fostering a culture of excellence.

Key Responsibilities:
Talent Acquisition and Staffing
- Develop and execute effective recruitment strategies for project administrator roles
- Collaborate with project managers to understand staffing needs and priorities
- Manage the full recruitment cycle, from sourcing to onboarding
- Optimize staffing budgets and address shortfalls
- Conduct interviews, assessments, and background checks
- Oversee the onboarding process and ensure smooth integration of new hires

Training, Performance Management and Development
- Design and implement comprehensive training programs for project administrators
- Collaborate with stakeholders to create role-specific and compliance-focused training modules
- Develop and maintain training materials and curriculum
- Assess training effectiveness and manage the training budget
- Assist in implementing performance management process and tracking system
- Identify high-potential employees for targeted development opportunities

Administrative Management
- Manage desk assignments at the Head Office
- Provide administrative staffing for projects and special events
- Assist with offboarding processes
- Ensure compliance with Ontario labour laws and regulations

Qualifications:

- Bachelor's degree in Human Resources, Business Administration, or related field
- 3+ years of experience in HR, with a focus on talent acquisition and coordinating onboarding and training
- Knowledge of HR practices, labor laws, and regulations
- Excellent communication, leadership, and analytical skills
- Proficiency in HR information systems and Microsoft Office suite
- Adaptability and willingness to learn in a dynamic environment
- Familiarity with the pre-construction real estate industry is an asset

**Project Administrator Talent Acquisition and Staffing Duties**:

- Develop, implement and execute effective recruitment strategies to attract top talent for the pre-construction project administrator role.
- Proactively analyze workforce needs to plan and adjust recruiting strategies accordingly.
- Collaborate with Project Managers and Assistant Project Managers to understand their staffing needs and priorities.
- Identify staffing shortfalls and identify short and medium-term solutions top address the shortfalls with the project management and operations teams.
- Review and approve the staffing budgets proposed by the project management team, ensuring staffing budgeting is compliant with company guidelines.
- Identify and utilize various sourcing channels such as university and college job boards, LinkedIn, Indeed, employee referrals, etc... Assist with drafting job posting with the approval of HR Director.
- Perform background checks and reference checks as necessary.
- Plan and conduct orientation sessions to introduce new employees to the company, its mission, values, and culture. Coordinate with HR, IT, and other departments to ensure all necessary resources (e.g., equipment, access credentials) are prepared for new hires. Schedule and organize initial meetings, training sessions, and introductions with key team members. Keep new hires informed about the onboarding schedule, expectations, and next steps.
- Oversee the onboarding process, ensuring new hires receive proper training and are integrated smoothly into the company. Foster clear and consistent communication between new hires, their managers, and the HR team.
- Collect feedback from new hires and their managers about the onboarding process to continuously improve it.
- Manage and optimize the use of onboarding software and tools.
- Manage desks assignments at the Head Office for admin needs.
- Promote and nurture the organization's culture and values to both newly onboarded admins and existing workforce.
- Ensure all required paperwork (e.g., contracts, tax forms, benefit enrollment) is completed accurately and promptly to coordinate with the HR and Payroll department.
- Maintain accurate records of all recruitment activities and decisions. Maintain accurate records of employee profiles and track employment dates.
- Provide admin staffing for any projects that require urgent admin coverage, or any additional staffing that is required for projects during project launch, sales events, call campaign, etc.
- Assist with the offboarding process for admin employees transitioning out of the company, ensuring a smooth and respectful exit process.
