Join our Team as a Residential Construction **Project Administrator.**
The Project Administrator reports to and works closely with the Project Management Team and is responsible for project administration, tendering, general administrative tasks and communicating with the Project Managers.
**Responsibilities**:
- Support the Project Management Team in all administrative functions including tendering, negotiating, and awarding contracts.
- Assist with finish schedules and ensure that all relevant information is available in a timely manner.
- Prepare cost-comparison packages for review and approval by the Project Manager.
- Enter the construction selections for client review with clear details and options available.
- Review trade accounts, confirming all administrative and site related requirements are up to date.
- Issue purchase orders, ensuring details are accurate and modified with any project variances or further client requirements.
- Follow up with suppliers to ensure orders are placed and coordinate delivery based on schedule.
- Assist the Project Manager(s) to ensure that projects stay on track, time and budget.
- Assist with managing the project budget and financials including processing invoices.
- Coordination of project meetings with stakeholders and preparing necessary presentation materials.
- Responsible for recording the meeting minutes and following up on action items.
- Maintain accurate recordkeeping of project details including (but not limited to) approvals, drawings, permit packages, budgets, schedules, tender documents, proposed changes, change orders and approvals.
- Review and understand project drawings and specifications.
- Effectively communicate with all parties involved ensuring concerns and best interests of the company and project are reflected.
- Trade and supplier research for details needed on unique project designs and developing relationships with new partners.
- Undertaking additional project tasks and duties as assigned.
**Skills & Qualifications**:
- General knowledge of the residential construction and renovation industry considered an asset.
- 1-3 years of administrative experience in the residential construction industry.
- Experience handling multiple projects simultaneously with strong organization skills.
- Excellent verbal and written communication skills.
- The ability to build and maintain sub-trade and vendor relationships
- The ability to read architectural drawings with a background in residential construction is considered an asset.
- Customer service oriented and can work both independently and in a team environment.
- Excellent computer skills using Microsoft Office products: MS Word, MS Excel, MS PowerPoint, and MS Project.
**Salary**: $45,000.00-$65,000.00 per year
