Office Manager

South Vancouver Physiotherapy Clinic is a multidisciplinary physio clinic providing services on the South side of Vancouver. Our team consists of experienced and dedicated healthcare professionals (Physiotherapists, Massage Therapists and Kinesiologists).
Duties and responsibilities:
- Manage and participate in daily administrative operations of the clinic: Assist with day-to-day clinic needs such as providing customer service to patients, assisting with general administrative duties, scheduling patient appointments and preparing treatment rooms
- Oversee medical service activities as well as supervise, lead and schedule office staff
- Manage support-staff including hiring, terminations, performance evaluations, training, work allocation/scheduling and problem resolution.
- Orientation, scheduling and vacation tracking for administrative staff and practitioners
- Monitor and submit payroll hours all clinic billings as well as resubmit corrections from reconciliation reports
- Liaise with Insurance adjusters, law firms, third party payers to provide documentation and sort out coverage issues and receivables.
- Troubleshooting/problem solving with staff regarding clinic issues
- Create and ensure open office communication as well as co-ordinate staff meetings
- Oversee and manage all paperwork for patient care, medical compliance and all levels of reporting
- Assist with the design, maintenance and ongoing implementation of the clinic's policies and procedures and workplace safety policies as well as adherence to any pertinent laws, rules and regulations
- Liaise with practitioners to ensure complete client care
- Monitor inventory of office supplies and assist in the purchasing/stocking of new materials.
- Research and provide technical software support to the support staff (Practice Perfect).
- Monitoring, coaching, and involvement with client feedback including incident report documentation.
- Overseeing facility spot cleaning and maintenance.
- Perform miscellaneous job-related duties as required
- If required, be willing to work overtime, weekends and evenings
- Willing to work in a busy and sometimes stressful environment, while attending to the many competing interests of patients, staff and clinicians.
**Knowledge, Skills, and Abilities**:
- Become familiar with best-practices for office procedures, telephone communications, office systems and electronic records keeping
- Become familiar with basic medical terminology and clinical procedures
- Become familiar with labor laws, as well as best HR practices to support the staff in optimizing performance
- Ability to efficiently and effectively report data to clinic ownership (MS Office, EMR statistics)
- Ability to establish priorities, work independently and proceed with objectives with mínimal supervision
- Ability to exercise accuracy, confidentiality, tact, and discretion
- Strong computer literacy and proficiency (MS Office, EMR software experience an asset)
- Efficient with strong time management skills, organizational skills and the ability to prioritize independently.
- Outstanding interpersonal and communication skills both verbal (written, phone, and in-person)
- Strong customer service skills (working with difficult clients including conflict resolution)
- Strong task prioritization and organizational skills
**Salary**: $40,000.00-$45,000.00 per year
