**Job description**
Experience in the following:
1-2 years of Property Management **is an asset**, including advertising and showing rental properties, preparing leases, preparing and serving tenant notices, tracking rental payments, and preparing income/expense statements
1-2 years of Real Estate Administration **( Mandatory) **including preparing listing agreements, broker loading, submitting trades, proficient with docusign and MS office, TREB, prepare amendments and notices, prepare feature sheets
Experience in Mortgages **is an asset**, with the ability to prepare commitment letters, communicate with brokers and borrowers, track interest payments, prepare renewals
Finance/Bookkeeping background is an asset
**Skills and Abilities**:
Previous experience in the real estate industry as an administrator is an absolute **MUST**
Experience of clerical duties such as: filing, organizing, correspondence, booking appointments, managing databases
Computer literacy is a **MUST**; proficient with computer systems such as office suite programs; MS Office is mandatory, Google drive, Outlook, and basic computer skills.
High attention to detail
Multi-tasking
Strong time management capabilities
Outstanding speaking and written communication skills
Knowledge of Landlord Tenant Act
**Duties and Responsibilities**:
- **Real Estate Administration**_
Prepare listing paperwork (Webforms) through PDF or DocuSign; prepare offers
Schedule photos/virtual tours
Producing feature sheets and inputting new listings into database: Matrix (and TREB if required)
Communicate with agents, mortgage brokers, lawyers on regular basis
Prepare waivers/amendments
Order status certificates for condo properties
Schedule open houses; set up auto searches for clients
- **Property Management**_
Prepare and submit rental license apps (Waterloo only)
Create and maintain fire safety plan
Advertise rentals/show rental properties
Create leases (residential and commercial)
Meet with potential tenants (mainly residential) to sign lease and collect deposits
Prepare and serve legal paperwork when required: N4 and N8
Track all incoming rents and rent increases; serve rent increases to tenants by required date; track expenses on all rental houses
Prepare income and expense statements for specific rentals
Maintain rent rolls for both commercial and residential tenants
- **Mortgages**_
Prepare mortgage commitment letters (including calculating interest payments)
Communicate with brokers or borrowers when required
Track interest payments received, loan due dates and required paperwork
Prepare mortgage renewals when required
Maintain commitment tracking spreadsheet
- **General/Miscellaneous**_
Keep track of payroll deductions and ensure payments to specific agencies are sent out
Ability to maintain appointments and keep track on calendar
May have to work outside business hours
