**Role**:
The Administrative Assistant provides high level administrative support to meet the administrative and logístical requirements of the Credentialing Centre and Nursing Policy division, including the CNA advisory councils. The Administrative Assistant may also provide some support to other teams, as needed.

While CNA is a virtual workplace, this position is based in Ottawa.

**Key responsibilities**:

- Provides administrative support to the six advisory councils to the CNA board of directors including drafting minutes and agendas, sending communications to the members and scheduling
- Administers and manages the calendar for the Director as required
- Supports Credentialing Centre and Nursing Policy division for any office administration such as, drafting letters, reviewing invoices, drafting fee for service contracts
- Maintains and updates working files accordingly
- Provides information to external organizations as required
- Provides backup for various shared mailboxes, actions requests, forwards to appropriate staff, tracks responses and follow-ups
- Researches information when requested and creates required documents
- Reconciles monthly credit card statements for Director and Leads as required
- Researches and drafts correspondence for the Director’s signature, and responds independently to correspondence as required
- Supports other Administrative Assistants as required
- Liaises with division Leads and co-workers on a regular basis
- Performs any other related duties as required
- Requires travel

**Qualifications**:

- Business administration diploma or degree
- Two years of directly related experience, preferably in an association environment
- Fluently bilingual in English/French
- Strong writing and oral communication skills in English and French
- Strong organizational skills and effective interpersonal skills
- Discretion, diplomacy and sound judgment
- Manages multiple priorities/expectations
- Ability to identify problems before they become issues
- Ability to proofread
- Ability to determine priorities and to establish and maintain a calendar
- Ability to change priorities and adapt to changing situations and to new ideas and concepts
- Ability to work independently and collaboratively
- Ability to research, analyze and synthesize information to assist in the compilation of reports
- Ability to work under pressure

**Desirable** **qualifications**:

- Experience working with a professional association
