Inside Sales & Administration Coordinator

Overview

This is a position requiring strong communication, customer service, time management, and facilitation skills. This role is a fusion of both inside sales and administration/accounting responsibilities that requires passion for detail, organization, planning, flexibility, and multi-role/task abilities. Experience in machine tool accessories and manufacturing with an understanding of Microsoft Dynamics is an asset.

Inside Sales Duties:

- Prepare responses to customer inquiries and follow-up with customers and obtaining feedback.
- Develop and maintain accurate customer data entries into ERP - Microsoft Dynamics 365.
- Accept, enter, and verify customer orders for accuracy. Seek customer agreement (as required) confirming order is accurate and agreed upon. Follow the order process from customer order entries, creating sales orders, issuing vendor orders to final delivery of orders.
- Up-keep sales orders with updated information from vendor confirmations.
- Provide customers with updated delivery status as required.
- Logistic coordination for importing products from various international factories. Using appropriate incoterms for fast, cost-effective deliveries to warehouse and final destination deliveries arrangements.
- Liaise with Regional Sales Managers for after sales customer service and support project requirements where required.
- Exhibition Trade Shows and open house management, coordination and implementation. In addition, attendance to support such events.
- When necessary, coordination and implementation of marketing ventures on all levels: social media, print and video.
- Develop a strong understanding of our products and services.

Administration/Accounting Duties:

- Data entry management into Microsoft Dynamics 365 pertaining to vendor, financial, logistics, customer invoices, etc. for ledger/financial statements, P&L reports, etc.
- Accounts Receivable responsibilities: organizing, issuing and delivery of sales order invoices to customers.
- Accounts Payable: scheduling payment for vendor/supplier, financial, logistic, etc. invoices.
- Applicable duties and responsibilities that entail A/P and A/R functions.
- Manage required directives and requirements for financial statements, balance sheets, P&L Reports, etc.

Perform other duties as assigned to the general benefit of the company when necessary.

Qualifications and Experience:

- Minimum college diploma: Accounting/Finance, Business Admin/Management, Economics/Commerce, Marketing.
- Proficient in Microsoft Office.
- Knowledge and experience with Microsoft Dynamics are an asset.
- Minimum 3 years work experience in Administration/Accounting/Inside Sales/Controller/Office Management.
- Valid Drivers License and Passport.
- Travel involved from time to time.
