**Job Purpose**:
Energy Systems a business division of EnerSys has an opportunity for a motivated and knowledgeable Executive Assistant to support our Engineering Team. This position reports directly to the Vice President Engineer, it is office-based and in Burnaby, BC but will remotely support teams in Bellingham and Spokane, WA. Occasional travel to the US may be required, ability to travel across international borders is a requirement for this role. The Executive Assistant Provides high-level, confidential administrative support to the Vice President Engineering, Engineering Directors and the PMO office. This position is privy to confidential information and as such, requires diplomacy and discretion. They will be responsible for a variety of duties including preparing reports, organizing travel, managing special events, managing calendars, working on special projects, assisting with onboarding new employees, timekeeping, and general administration.

**Essential Duties and Responsibilities**:

- Manages the VP's schedule including complex and high-profile meeting coordination and initiating the rescheduling of meetings to address urgent situations.
- Provide direct support to the VP, Directors, and other leaders with scheduling.
- Arranging travel and booking accommodation
- Plan and execute Engineering team meetings both virtual and in person.
- Research and prepare various reports for information required by senior management and then extract and summarize information for reports, projects, and correspondence.
- Support the VP in preparations for upcoming meetings by gathering relevant information.
- Administer Equipment purchase process.
- Retain access and oversight of agreements and contract management documents for Engineering vendors.
- Assist with the planning and conducting of new hire onboarding to ensure new hire details are taken care of, managers are knowledgeable about their responsibilities, and organizational and position objectives are defined, communicated, and tracked
- Actively promote and contribute to a positive and productive workplace environment.

**Qualifications**:

- College diploma or technical degree in a related discipline
- At least 3 years’ experience in an Administrative Assistant with additional minimum 2 years as an Executive Assistant role
- Ability to travel across international borders (generally for day trips)
- Previous experience using SAP or another ERP system.

**Knowledge, Skills and Abilities**:

- Exceptional computer skills using MS Teams, MS Word, Excel, PowerPoint, and Outlook
- Flawless communication and presentation skills, both written and verbal
- Effective time management and prioritization skills
- Proven track-record of responsiveness and meeting deadlines
- Highly organized and able to manage complex calendars, meetings, and travel arrangements.
- The ability to build and maintain strong relationships with clients, colleagues, and external partners.
- Must be able to confidentiality and discretion when handling sensitive information.
- The ability to work autonomously
