**Job Overview**:
The Bookkeeper is responsible for maintaining accurate and up-to-date financial records for the organization. This role involves handling day-to-day accounting tasks such as recording transactions, reconciling accounts, processing payroll, and managing invoices. The Bookkeeper ensures the financial data is complete, organized, and complies with accounting standards and company policies.
**Key Responsibilities**:
- **Recording Financial Transactions**:
- Record day-to-day financial transactions, including purchases, sales, receipts, and payments.
- Maintain and update the general ledger by posting journal entries.
- Ensure all transactions are documented with appropriate receipts and supporting information.
- **Bank Reconciliation**:
- Reconcile bank, credit card, and vendor accounts on a regular basis to ensure accuracy.
- Investigate discrepancies and resolve any issues with missing or incorrect entries.
- **Accounts Payable and Receivable**:
- Manage accounts payable by processing vendor invoices, preparing payments, and ensuring timely disbursements.
- Reconcile the accounts payable and receivable ledgers with general ledger entries.
- **Payroll Processing**:
- Assist with payroll processing by ensuring employee data, time records, and payroll deductions are accurate and up to date.
- Manage employee expense reimbursements and track leave balances.
- Coordinate with payroll service providers if applicable and ensure timely payroll submission.
- **Financial Reporting**:
- Assist in the preparation of financial reports, such as balance sheets, income statements, and cash flow reports, to provide an accurate picture of the company’s financial health.
- Provide data to the Controller or Accountant for tax filings and audits.
- **Expense Tracking and Budgeting**:
- Monitor and record company expenses, ensuring they are categorized correctly.
- Assist in creating budgets and tracking actuals versus budgeted figures.
- Help identify areas for cost savings or efficiency improvements.
- **Tax Preparation Support**:
- Assist with preparing tax documents and ensuring compliance with federal, state, and local tax regulations.
- Prepare necessary financial documents for the annual tax return.
- **Document Management**:
- Maintain organized financial records and support documentation for audit purposes.
- Ensure financial records are stored properly and retained according to company policy and legal requirements.
- **Compliance and Internal Controls**:
- Ensure compliance with company policies, procedures, and accounting standards.
- Implement and follow internal controls to safeguard company assets and ensure financial accuracy.
**Qualifications**:
- Associate degree in Accounting, Finance, or a related field (Bachelor’s degree preferred).
- Proven experience as a Bookkeeper or in a similar role.
- Strong knowledge of bookkeeping practices and procedures.
- Proficiency with accounting software (e.g., QuickBooks, Xero, Sage) and Microsoft Excel.
- Understanding of payroll processing and tax regulations.
- Experience with financial reporting and general ledger functions.

**Working Conditions**:
- Full-time based in Toronto (130 Queens Quay East).
