Reporting directly to the Manager of the Postgraduate Medical Education Office (PGME), the incumbent will be responsible for promoting NOSM University’s postgraduate residency programs from both an internal and external perspective in order to increase the profile of NOSM U.

This position is covered by the Terms and Conditions of the OPSEU Unit 677 Collective Agreement (Unit 2). A copy is available on the NOSM University website.

**Responsibilities**:
Tasks may include but are not limited to the following:

- Plans and develops a recruitment and promotion work plan under the direction of the Manager, PGME Office. Working in collaboration with the Senior Director PGME, Associate Dean PGME, PGME Program Directors, Program Coordinators and the NOSM U Communication’s Unit to develop appropriate “branding” of the Postgraduate Medical Education Programs
- Coordinates and develops all promotion, public relations, web-site strategy, communications planning, and community relations functions for the postgraduate programs
- Ensures a high profile is maintained for all NOSM U’s postgraduate programs locally, provincially and nationally. Includes maintaining a strong network with universities and undergraduate medical education programs, medical associations, PARO, clinical faculty, and community based and Academic Health Sciences Centre staff.
- Oversees the recruitment activities and interview processes for the Canadian Residency Matching Service (CaRMS) events in collaboration with the PGME Program Directors & Managers, Senior Director PGME, Manger PGME Office, Associate Dean PGME and PGME Program Coordinators
- Using project management techniques, prepares schedules and budgets for activities, identifies and develops a plan for the clear communication of critical dates, milestones, and deadlines to ensure events are managed on time and within an approved budget.
- Employs a variety communication methods and tools to communicate information and key postgrad initiatives internally and to the broader Postgraduate Medical Education community Coordinates an assigned budget for postgraduate promotions and recruitment; maintains fiscal controls, makes recommendations for the authorization of expenditures and purchases
- Prepares draft content for print materials, websites and other external media for review by the Associate Dean, Senior Director of Postgraduate Education, Manager PGME Office and Program Directors
- Organizes surveys and prepares reports based on participant feedback in order to improve future events.
- Represents and Coordinates PGME’s presence at local and national education and promotion events (Open Houses, Information Sessions, Medical Education Conferences etc.)
- Arranges venue preparations and negotiates facility arrangements both off and on campus
- Travels extensively representing the postgraduate medical office at multiple events and activities
- Develops clear work plans in relation to overall strategic goals of PGME and NOSM U.
- Performs other duties as assigned.

**Qualifications**:
**Education**:

- A post-secondary degree in a related discipline (e.g. marketing, business administration, communications, arts and humanities) from a recognized institution with Canadian accreditation or an equivalent combination of education and experience is required.

**Knowledge, Skills and Abilities**:

- Minimum of three (3) years of related experience in coordination of programs in an education setting.
- Experience developing marketing and communications strategies and materials
- Must be a proven collaborator
- Must have exceptional interpersonal skills with a solid track record of developing and maintaining productive and collegial relationships within the workplace and with external contacts
- Familiarity with the populations, community and health care needs of Northern Ontario
- Experience working with other software programs with formatting/utility capabilities of word processing (i.e. Microsoft Excel, Word) and with NOSM U’s custom programs
- Computer systems and software such as Windows, Databases, Internet and E-mail
- Proven experience in coordinating various tasks under tight deadlines
- An understanding of Indigenous and Francophone communities and their needs as it relates to medical education
- The ability to communicate effectively and to express oneself clearly verbally, and in writing, and uses a variety of media
- Work within established organizational practices, protocols and policies

**Language**:

- Must be able to communicate effectively in English (verbally, written and comprehension)
- French/Indigenous language skills would be considered asset
