**Your Opportunity**:
Reporting to the Senior Director, Watershed Management and Climate Change, the Business Administrator supports project planning, securing grants and approvals, writing procurement and other agreements, managing contracts, and preparing reports on projects and programs across the Watershed Management and Climate Change department.
- Database administration and data management including soliciting and collating input outcomes and Key Performance Indicators
- Assist in preparation of background information for submission of grant, fee-for-service, and other funding proposals
- Intake, triage, prioritize and assign restoration projects and technical teams to Project Managers, in consultation with the Manager, Landscape Restoration
- Administer and report on projects to internal and external stakeholders including funders to ensure that all reporting requirements are fulfilled and timelines met
- Develop, foster, and sustain effective working relationships with internal staff and external stakeholders in municipalities, government agencies, and other sectors
- Track project status and take a proactive approach to ensure that project timelines, partner commitments, and budgets are on track
- Coordinate and compile data and prepare quarterly and year end reports as assigned by the Senior Director
- Prepare and present reports to communicate project status to the Senior Director funders, and others as required
- Administer invoices and process payments for fee-for-service contracts in accordance with financial policies and procedures
**Your Qualifications**:
- College diploma or university degree in Office/Business Administration or related discipline or equivalent experience
- Minimum of 3 years of related work experience
- Proven project management and administrative skills and training
- Ability to interpret technical materials and convey key messages
- Competency in using Adobe Acrobat and various Microsoft programs including Word, Outlook, Access, Excel, and PowerPoint; and experience in the use of software programs such as GIS and various data bases
- Proficiency in proofreading, grammar skills and attention to detail
- Demonstrated experience in file and document management with a high level of attention to detail and exceptional organizational skills
- Demonstrated experience in organizing, tracking, and managing business contracts and budget tracking (revenues and expenditures)
- Project Management Program (PMP) certification training is an asset
