Cosmetic Surgery Patient Coordinator and Medical

Overview: We are seeking an enthusiastic, experienced and versatile individual to fill the roles of Patient coordinator, Medical and Aesthetic Office Assistant and Practice Manager in our boutique plastic surgery, cosmetic surgery and aesthetic medicine clinic.

A very competitive salary will be accompanied by further training and support as needed.

**Responsibilities**:
Administrative Management:
Oversee all administrative functions of the clinic, including scheduling, patient registration, billing, and medical records management.

Develop and implement efficient workflows and protocols to optimize clinic operations and enhance patient experiences.

Manage inventory of office and medical supplies, ensuring adequate stock levels and timely ordering as needed.

Clinical Support:
Assist medical and aesthetic providers with patient care activities, including rooming patients, taking vital signs, and preparing treatment rooms.

Prepare patients for procedures and treatments, explaining pre
- and post-operative instructions as needed.

Maintain cleanliness and organization of clinical areas, ensuring compliance with infection control protocols and safety standards.

Patient Care and Experience:
Greet patients warmly upon arrival, ensuring a welcoming and professional environment.

Assist with patient check-out, scheduling follow-up appointments, and processing payments.

Address patient concerns and inquiries in a courteous and compassionate manner, escalating issues to the Plastic Surgeons, non-surgical providers or Financial Manager as necessary.

Follow-up and follow through on patient consultations to ensure scheduling of surgery procedures

Implement patient satisfaction surveys and feedback mechanisms to continuously evaluate and improve the quality of care and service delivery.

Financial Management:
MSP billing and Private collections processes, and processing payments.

Monitor accounts receivable and follow up on outstanding balances, resolving billing discrepancies and addressing patient enquiries.

Provide support to the Financial Manager in budget management and financial reporting.

Qualifications:
High school diploma or equivalent.

Certification as a Medical Assistant or completion of relevant training program is strongly preferred.
- 2 years previous experience in a medical or aesthetic clinic setting is essential, with knowledge of medical terminology and procedures.

Strong administrative and organizational skills, with attention to detail and accuracy.

Warm, friendly and confident personality

Excellent communication and interpersonal skills, with the ability to interact effectively with patients, staff, and providers.

Proficiency in computer skills, including electronic health records (EHR) systems - Accuro preferred, and Microsoft Office suite. Familiarity with Apple environment also desired

Ability to multitask and prioritize tasks in a fast-paced environment.
