**Position Purpose summary**:The Volunteer Coordinator & Administrative Assistant plans, directs and monitors volunteers within the facility to assist residents/clients and staff with a range of duties. Organizes, arranges and monitors all internal and external events. Provides direct administrative assistance to the Executive Director and some HR support.

**Accountabilities**:
**1.** **Volunteer Services**
- Post, Interview, Recruit and train volunteers for THLM agencies
- Provide orientation, maintain policies and procedures and background checks for volunteers
- Maintain log of all volunteer hours, provide letters as required
- Manager volunteers for all events and programs

**2.** **Payroll Assistance**
- Enter payroll biweekly for all sites
- Resolve all errors or corrections before and after pay period has ended
- Keep documentation and timesheet back ups for all time entered
- Maintain accuracy and ensure confidentiality of payroll information

**3.** **Executive Administration**
- Schedule and organize Senior Management Meetings, maintain agenda, reports and take minutes
- Responsible for scheduling appointments in Executive Directors calendar as required
- Responsible for On-Call schedule for Directors
- Provide general administrative assistance to Executive Director as required

**4.** **Human Resources Administration**
- Assist with reference checks and Vulnerable Sector Screens for new hires
- Assist with Benefits and RRSP administration
- Assist with monthly and quarterly reports
- Assist with interviews or other meetings, as required
- Provide recruitment and HR administration when needed

**Education, Qualifications and Certifications**:

- Completion of a diploma or degree, preferably in Communications, Marketing, or related
- Volunteer and Event Management Certification preferred
- Alternative combinations of education and experience may be considered.

**Experience and Skilled Knowledge Requirements**
- Minimum of 1 year of prior related experience in Volunteer Coordinator and Events
- Experience with payroll an asset
- Experience in Executive Administration preferred
- Experience in Human Resources an asset
- Knowledge and experience in Event Management
- Experience and ability to network and create connections and partnerships

Develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities

- Attention to detail, problem solving and analytical skills.
- Strong sense of integrity and confidentiality with professional ethics and a balanced sense of fairness and flexibility.
- Able to work on multiple projects at once, while maintaining deadlines
- Creative, self-motivated and excellent organization skills
- Discreet and able to handle confidential information
- Comfortable working in a setting and with individuals experiencing mental health and recovery from substance use

Experience with Social media, website management and CCTV systems
