SUMMARY OF DUTIES

Reports to Manager, Engineering Services, Construction, under the general supervision of the Senior Project Manager. The Contract Co-ordinator is responsible for the co-ordination and preparation of City of Hamilton contracts and ensuring that all specifications and documentation are compliant with all SOPs and legislation.

GENERAL DUTIES

Co-ordinate and prepare City contracts by ensuring contract documents are complete and ready for construction issue, per City practices and policies. Approve final contract documents prior to being issued for construction including, but not limited to, all pertinent signatures, required permits and all outstanding stakeholders concerns are met.

Review complete contract documents, schedules of quantities, specifications, and contract special provisions.

Review and interpret engineering drawings.

Review and edit contract documents from consultants and staff and ensure compliance with engineering design drawings.

Review contract documents from consultants and staff and ensure compliance with engineering drawings, interpret plans and specifications for contractors, staff and the public.

Co-ordinate the publishing of contracts and engineering drawings onto the electronic CityShare platform.
Receive and answer enquiries from staff, consultants, engineers, other departments and municipalities.

Receive and answer contract enquiries from Contractors and stakeholders and determine the need for design or contract change orders.
Maintain and update the City standard specifications and contract documents templates for Construction Project Managers.

Research and recommend City specifications and contract policies and procedures.

Maintain historical contracts listings for reference. Input and retrieve specification and contract data.

Direct and train new staff and students.

Operate equipment such as, copier, scanner and printer.

Schedule contracts, arrange preconstruction site meetings, maintain contract construction periods and closing dates.

Prepare and review Contract Change Orders for various works and ensure compliance with SOPs and legislation.

Represent Construction Services in the Special Events Committee. Coordinates schedules for conflicting events such as Around the Bay, filming, parks rentals and closures.

Assists the Senior Project Managers of Construction with facilitation of the Standards and Approved Products Committee meetings.

Assists the Senior Project Manager in the management of projects which includes researching background information, preparing documentation, preparing reports related to projects, communicating with and coordinating activities for participants in projects.

Assists with the compilation of data into reports, databases, webpages, and other information and presentation tools.

Participates in continuous improvement initiatives.

Perform other duties as assigned which are directly related to the major responsibilities of this position.

Works in accordance with the provisions of applicable Health and Safety legislation and all City of Hamilton corporate and departmental policies and procedures related to occupational Health and Safety.

QUALIFICATIONS

1. Demonstrated knowledge of the practices of construction contract administration normally acquired by obtaining a three-year Community College Diploma in Engineering Technology or an equivalent combination of relevant education and related work experience.

2. Considerable experience with the administration of contract documentation and an understanding of construction specifications.

3. Comprehensive site experience and a working knowledge in construction and contract administration and specification coordination

4. Strong administrative skills with excellent attention to detail involving coordinating, reporting and tracking tendering documents gained through practical experience.
