MLTC is seeking dynamic, highly motivated individuals to fill full-time, permanent positions in Programs Services Inc as the Administrative Assistant. The Administrative Assistant is responsible for providing administrative support for various assigned programs/activities. As part of the 3-member front office team, the Admin Assistant covers front end Administrative Support staff duties for short periods in the absence of the Admin Support staff (typically, a casual will be called in to cover), and performs acting coverage in the absence of the Office Manager.

**Administrative Support Duties & Responsibilities**:

- Admin support for quarterly Band Mgr. meetings (Agendas, minutes, meeting prep such as per diems, bookings, coordination with Chair, assemble meeting kits)
- Assist Office Mgr. with senior executive meetings, Chiefs meetings and with the Board of Directors for Resource Development Inc
- Data-Share site: perform administrator duties (user names and passwords), upload all deposit slips, service agreements and other information as requested by Finance
- Oversee IBC Phone System: perform administrator duties (user names and passwords)
- Administer Cell Phones
- Format, revise & update request forms, procedures & policy manuals and presentations as needed.
- Perform General administrative duties:_
- Scan and distribute incoming mail to distribution list
- Issue Purchase Orders as requested
- Book rooms, make flight travel arrangements for employees, FN reps & Band Manager's meetings
- Run daily errands: deposits, meeting snacks, pickup supplies
- Coordinate minor maintenance services (maintenance request forms) with maintenance contractors
- Reorder and stock supplies as necessary (Janitorial, office, coffee room, Xerox)
- Develop and maintain e-filing system

**Required Education, Knowledge, Qualifications and Experience**:

- Two (2) years of relevant experience in an administrative support position.
- Certificate/Diploma Education in Office Administration and Office Procedures.
- Appropriate combination of education and experience will be considered Certificate/Diploma from a recognized institute and/or work experience in office administration and data entry.
- Demonstrated knowledge in office procedures; ability to maintain accurate records/files and documentation; excellent organizational and planning skills.
- Demonstrate a high level of confidentiality, personal and professional integrity.
- Knowledge and understanding of MLTC and First Nation history, culture, and values.
