The AIDS Network is a registered charitable organization, and offers services to the 1.5 million people living in the communities of Hamilton, Halton, Haldimand, Norfolk and Brant. Since 1986, The AIDS Network has been the primary voice for HIV/AIDS prevention, education, and support.

We are seeking an individual to fill a new position on our Leadership Team.

The Manager of Operations is responsible for the management of financial, office, human resource, and other administrative functions to ensure optimal agency operations and effectiveness.

The position collaborates closely with the Executive Director to establish and manage annual operating budgets and related financial transactions designed to support The AIDS Network’s annual programs and service delivery plans and long-range strategic plans. The position is responsible for day-to-day head and regional office/facility management issues, key human resource processes, including the health and safety program.

The Manager of Operations is a full-time management position and reports directly to the Executive Director. As a member of the Management team, the Manager of Operations participates in strategic planning, budgeting, and problem solving along with initiatives that support the overall agency. The Manager works within guidelines, policies, values, and mission of the organization.

**PRIMARY RESPONSIBILITIES**:
Financial
- Manage day-to-day processing of accounts receivable and payable using QuickBooks. Complete bank deposits, reconciliations, reports as required.
- Establish and maintain financial procedures and controls to ensure accounting data is consistent with policies, guidelines, and GAAP.
- Process payroll, maintain records and report on all payroll related activities.
- Manage development and monitoring of annual budget and provide information on variances and budget availability.
- Prepare financial reports for the funders Executive Director, Board of Directors, and others as relevant.
- Coordinate the annual financial audit with the organization’s external auditors and work with auditors to ensure efficiency in completion.
- Assist in the development of funding proposals for submission to funding sources and ensure contract budget compliance.

Administration
- Oversee and ensure efficiency in purchasing and maintenance of equipment, materials, and services.
- Manage relationship with IT service provider in provision of IT services.
- Oversee the general administration of the agency operations including lease and supplier contract administration.
- Manage and direct the administrative procedures of the agency (i.e., identify the individual and collective needs of the agency regarding effective and efficient administrative procedures)

Human Resources
- Provide leadership and support for consistent and clear hiring processes including recruitment and onboarding/orientation of new staff.
- Provide input into HR functions and ensure documentation and policy are compliant with Ministry of Labour regulations and any other applicable legislation.
- Ensure that all documentation pertaining to new recruitment, internal updates/changes, termination, and notices are current.
- Work with the Executive Director in coordinating various types of leaves (i.e., maternity, parental, bereavement, emergency, sick, disability) and applicable processes which may involve consulting with health-care providers and the disability plan provider for purposes of job accommodation and modification where necessary.
- Assist in the execution of annual HR processes such as policy updates, job description revisions, health benefits and payroll reviews.
- Answer employee queries such as benefit provider information, access for training resources and other HR general inquiries.
- Function as a health and safety management staff representative

**QUALIFICATIONS**
- 5 years senior leadership experience within a community-based service environment or health care sector agency which focuses on populations vulnerable to HIV/AIDS.
- Post-secondary degree or diploma in a related field (or equivalent experience)
- Previous experience in a management capacity and collective bargaining environment an asset. Demonstrated experience providing leadership in organizational context required.
- Understanding of Acceptable Accounting Practices and other compliance issues for charitable organizations
- Proficiency in QuickBooks required.
- Highly attentive to detail
- Exceptional communication skills
- Proficiency in working with Microsoft Word and Excel, other related database programs.
- The ability to work well both independently and in a team environment.

**WHAT WE OFFER**:This is a full-time, permanent (35 hours/week) position with The AIDS Network. We offer a competitive compensation package in the salary range of $60,000- $65,000 and a comprehensive benefit package.
