**Job description**
AIVIA Design and Technology Engineering is a small team of highly-trained and passionate mobile app developers and custom enterprise software specialists based in Edmonton, Alberta, founded in 2002. During that time we have grown our company and services, and are now rapidly expanding our Software as a Service (SAAS) business across North America with Communikit, a mobile app framework that allows our clients to easily communicate with their memberships using simple to use but powerful tool sets.
We believe in doing new and exciting things with technology and solving problems via automation, with a particular focus on supporting local, provincial, and national First Nations organizations in their technology and communications efforts.
We are looking to hire an part-time AR/AP Bookeeping Clerk to help manage payments flowing into and out of the company, including internally (e.g. Payroll) and externally (e.g. Processing Payments from Clients).
**Duties (including but not limited to)**:
- Reaching out to new and existing clients to set up financial contacts
- Preparing and sending invoices to clients
- Following up with clients for payments
- Managing employee payroll
- Updating and maintaining records of expenditures
- Responding to vendor invoices
- Ensuring that all payments are made in accordance with company policy
- Ensuring that all payments are sent on time
- Pull AP aging detailed report for review of AP run
- Pull AR aging detailed report for review of AR collections
- Resolving payment discrepancies and disputes on behalf of the company
- Assist with the file management and organization of AP vendors
- Posting payments to customer accounts
- Organizing and filing deposit receipts as invoices are paid
- Preparing reports on delinquent accounts and customer payment profiles
- Reconciling cash receipts and deposits
- Analyzing financial records for accuracy
- Assist with the file management of all AR clients
- Additional duties as required
**Skills**:
- Preference for an accounting or related diploma from a recognized post-secondary institution, as well as at least 1 years’ experience in an accounting/administrative role. Equivalent education and relevant work experience will be considered.
- Effective organizational skills, accuracy, and attention to detail.
- Able to work independently, self-motivate and prioritize work effectively.
- Previous experience with Excel, Quickbooks and other accounting/administrative software.
- Friendly and pleasant, able to work well with others
- Fluent English speaker with strong communication skills (written and oral)
