**DESCRIPTION DU POSTE (contract de 1 an)**

Relevant de la cheffe d’équipe, pré-approbation, la personne titulaire de ce poste est responsable des activités administratives de pré-approbation des demandes de subventions de recherche, depuis la soumission de la demande jusqu’à son approbation par la recherche.

**PRINCIPALES RESPONSABILITÉS**

**Administration**
- Assurer un niveau de qualité élevé et une attention exceptionnelle à l’égard de la clientèle tout au long du cycle de vie de pré-approbation des projets de recherche de petite et moyenne taille en:

- examinant et enregistrant tous les documents et informations requis pour confirmer l’admissibilité de la subvention jusqu’à son achèvement, en veillant à la conformité avec les ententes de financement et les guides du programme.
- veillant à la rédaction et à l’envoi en temps utile des lettres et des courriels de décision en matière de recherche.
- gérant les modifications de projets et les propositions révisées afin de garantir l’admissibilité des modifications à la demande de la clientèle/des parties prenantes externes et de s’assurer que tous les documents sont dûment complétés avant de donner suite aux demandes de modification.
- donnant des conseils et offrant son aide aux parties prenantes externes en ce qui concerne l’administration de leur dossier de subvention et répondre aux requêtes relatives aux programmes.
- communiquant efficacement avec les bureaux administratifs de différents établissements d’enseignement, professeur-es superviseur-es, stagiaires et organisations partenaires. Proposant des solutions aux défis qui surgissent.
- rédigeant divers types de correspondance s’adressant aux demandeuses et demandeurs/établissements d’enseignement aux différents stades des stages.
- effectuant l’entrée de données, le classement électronique et l’archivage de données.
- maintenant les niveaux de service et les délais d’exécution pour des tâches spécifiques telles que définies dans les indicateurs de performance clés de notre département.

**Soutien offert au sein du service**
- Travailler en étroite collaboration avec les autres membres de l’équipe Gestion des subventions, du service des finances, de l’équipe du développement des affaires, de l’équipe des programmes et de l’équipe de recherche afin de tenir tout le monde informé des changements de procédure et de proposer des solutions aux éventuels problèmes liés au bon traitement des demandes de subventions.
- Épauler les membres de l’équipe immédiate du ou de la spécialiste, encadrer les autres membres de l’équipe dans un environnement de collaboration.
- Participer, ad hoc, aux initiatives du service pour soutenir d’autres équipes, programmes, services ou d’autres initiatives administratives stratégiques.

**Rapports et conformité**
- S’assurer de la conformité aux ententes de financement et aux guides de programme.
- Appuyer la coordination et la collecte de données pour divers rapports régionaux pertinents aux bailleurs de fonds.
